Position Summary:

Responsible for supporting the work of the Learning programs at the Los Angeles Philharmonic, including the Youth Orchestra Los Angeles (YOLA) sites. The Administrative Coordinator, Learning is an essential team member that supports the operational processes for the Learning Department and works in close collaboration with the Managers and Associate Director, Learning. This position supports the management of day-to-day systems, operations, and logistical coordination. The Administrative Coordinator, Learning will have oversight of administrative duties related to cross-departmental initiatives

Hours for this position will range between 20 - 29 hours per week. Salary : $ 23.00-$25.00 and hour


Scope of Work

Administrative:

  • Provide general administrative support to the Learning Department and cross-site YOLA programs and initiatives
  • Serve as point of contact for processing department invoices, department mailings and office supplies, etc. and liaising with other LA Phil departments as needed
  • Maintain confidentiality of sensitive institutional information.
  • Support the ordering of and ensure supplies for Learning events and programs
  • Draft and track the routing process of contracts related to Learning programming
  • Manage the Department’s Mastercard receipt tracking and monthly statement
  • Assist Learning staff as needed, supporting company-wide educational and community initiatives and related communications, pre-concert and concert duty, etc. Including Upbeat Live, Symphonies for Youth, Symphonies for School, etc.
  • Support the management of cross departmental systems, such as Salesforce, SharePoint, Monday.com, Acceptd, and Clark (the LA Phil’s digital asset management and project management system)

Communication:

  • Coordinate and schedule appointments, meetings, and maintain meeting minutes
  • Collaborate with Associate Director, Learning, to prepare and proofread communication pieces including presentations, newsletters, talking points, information for web and social media, and marketing pieces for YOLA and Learning programs
  • Communicate effectively in written and verbal form with key internal and external stakeholders

Minimum Requirements

Position Preferences:

  • College education in music performance, education, administration, human services or social work, or equivalent work experience in one of these fields
  • Appreciation for and knowledge of music (orchestral and/or choral)
  • Bilingual in English and Spanish strongly preferred, but not required
  • Fluency in all Microsoft suites components and remote working tools (Slack, Google, Zoom, etc.)
  • Strong organizational skills; detail oriented
  • Ability to work effectively and respectfully with a wide range of constituencies in a diverse community and fast-paced environment
  • Superior written and verbal communication skills
  • A driver’s license and ability to travel
