Jefferson Solutions, the well-respected government consulting company of the Jefferson Consulting Group, a woman-owned small business, is looking for several Project/Administrative Assistants to support work with the Forest Service Team.

You will be responsible for supporting a variety of administrative activities virtually.

Abilities and Responsibilities:

  • Coordinate logistics and schedules for internal meetings and external meetings.
  • Participate in weekly, monthly, and ad hoc meetings.
  • Record meeting minutes and disseminate across the team.
  • Participate in the review and update of procedures, communications materials and other management tools.
  • Support the organization of the new Transition Team’s files including maintaining version control and the electronic file structure.
  • Maintain reference files of frequently consulted regulations, policies, directives, and other material.
  • Prepare correspondence, forms, reports, slides, spreadsheets, and other documents from rough drafts, notes, or oral instructions using a wide variety of technical terminology.
  • Draft and distribute monthly reporting documents for Executive Level Briefings.
  • Draft and distribute monthly and quarterly communications briefings aligned to budget reporting and audits.
  • Provide administrative support in maintaining the master schedule and master integrated project team portfolio
  • Review outgoing correspondence for proper spelling, grammar, format, and arrangement of material.
  • Support the maintenance of documents on the Transition Team intranet and external facing website.
  • Support process improvement efforts by tracking progress, drafting process documents, and distributing drafts and final communications.
  • Perform simple data entry to maintain portfolio data and dashboards.

To be considered for this role, you must possess:

  • Bachelor's degee desired
  • Superior abilities with the Microsoft Office suite of products including SharePoint, Outlook, PowerPoint, Project, and Excel
  • Microsoft Power Bi desired
  • Strong organizational, interpersonal, communication, writing, problem solving, and analytical skills to effectively interact with program and contracting officials.
  • Attention to detail and record-keeping, high standards of excellence and commitment to perform and execute all project activities successfully.

Also, we are seeking an individual who:

  • Has at least 1 year of relevant, professional experience.
  • Is a self-starter who is interested in learning about federal contracting and acquisition.
  • Has prior budget process knowledge and experience

You must also be able to pass a background investigation and favorable fitness/suitability determination for a Public Trust Clearance.
