Job Duties

The Department of General Services, Division of Engineering and Buildings (DEB), is responsible for the administration and enforcement of the Virginia Uniform Statewide Building Code as it relates to buildings on state property, for developing state policies and procedures on the procurement of professional and construction services and for establishing accessibility standards for state buildings.

We are currently seeking a Program Support Technician – Senior to provide high quality administrative support services to both the Capital Outlay Management’s internal staff and to the Bureau’s state and non-state customers.

The incumbent must work both independently and as part of a team to accomplish a varied assortment of duties, including:

Serve as Division’s primary point of contact including answering phones, serve as the receptionist, and monitoring mailboxes.

Receive and file documents in the Division’s SharePoint Document Management System. Log submittals in the Bureau’s BITS Database tracking system. Scan documents received in hard copy format into searchable pdf files.

Pre-processing for project submittals submitted under the electronic review (EDR) option, create page indices and links to drawing details by running an automated software function. Provide QA review prior to uploading the EDR submittal into the EDR document storage site.

Serve as one of two purchasers for the Division. Process orders in eVA, using a Small Purchase Charge Card, where appropriate. Follow all applicable procurement policies and guidelines. Assure the Bureau’s stockroom is replenished regularly.

Monitor and coordinates Division’s copier, fax machine, and network printers.

Assist in testing fixes/enhancements to the Bureau’s various systems and providing administrative support for the Bureau’s training activities.

Maintain the Division’s Correspondence Log, distribute Demolition Permits, assure invoices are routed for prompt payment, and perform other miscellaneous administrative functions.

Serve as the key point of contact for vehicle rental requests.

Other duties as assigned, including, but not limited to, backup support to other Division staff members.

This position is the primary backup to the Records Administrator and will require at times to be able to lift, push, or pull 20 pounds and occasionally lift, push, or pull up to 50 pounds.

This is an hourly wage position, to be worked during normal business hours (Monday thru Friday, 8:15 am -5:00 pm) with a maximum of 29 hours per week and 1500 hours per year. No State benefits are provided.

Minimum Qualifications

HS diploma, or equivalent is required.

Applicant must be proficient in the use of Microsoft Office, Gmail, SharePoint, and Adobe Acrobat software.

Experience using document management software.

Experience using database software.

Experience using general office equipment (copiers, fax, printers) and troubleshooting issues.

Purchasing experience in an office environment.

Ability to: self-prioritize, multi-task and schedule workload to meet both normal completion schedules and special deadlines, work independently and exercise judgment, work in a team environment.
Excellent customer service and interpersonal skills as well as strong written and verbal communication skills.

Must be highly organized, detail oriented, possess a strong work ethic, and be highly customer service oriented. Performance of job duties in a courteous and professional manner at all times.

Preferred Qualifications:

Associates degree or other certification in Business, Information Systems, or related field preferred.

Knowledge of architectural & engineering terminology is helpful.

General knowledge of the functions of other State Agencies is desired.

Use of BlueBeam and/or eVA software is strongly desired.
