DESCRIPTION

Starting salary for this position is: $3,321 (Monthly)

Employees starting at the entry step of this range receive salary step advancement after six months and every 12 months thereafter. If an employee starting at anything higher than the entry step of the range, will have salary step advancement after 12 months and salary step advancement every 12 months thereafter until they reach the top of the salary range. Each salary step advancement will be approximately a 5% increase in salary.

SFCC is one of two accredited community colleges that comprise the Community Colleges of Spokane (CCS). In addition to serving the urban and suburban population in greater Spokane, including students from Fairchild Airforce Base, CCS provides educational services to rural communities throughout our 12,302 square-mile region in Eastern Washington, including students from the Spokane and other Eastern Washington tribes.

Serving about 8,200 students, SFCC endeavors to be an educational leader and a responsive partner with the community and region to provide access to relevant programs of the highest quality. We offer a large liberal arts/transfer program (approximately 75% of total enrollment) as well as state-of-the-art professional technical programs (about 25%). The Community Colleges of Spokane is seeking a highly motivated and qualified individual for the position of Program Support Supervisor in the SFCC Admissions & Registration Division.

GENERAL DEFINITION

Under general supervision of the Director of Admissions & Registration, this position will lead the Spokane Falls Community Colleges (SFCC) admissions and switchboard daily operations and supervise related staff. Responsibilities include: providing leadership and training for front line personnel; serving as campus subject matter expert for admissions information, processes and procedures; troubleshooting admissions and registration issues; and assisting with department tasks as needed.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES

  • Provide leadership and schedule the daily operations of the admissions front counter and switchboard personnel ensuring daily operations are maintained. Serve as the back-up for curriculum advisor and switchboard personnel as needed. *
  • Supervise classified, part-time and work-study employees (train, schedule, evaluate, discipline and respond to grievances). Adhere to classified contracts and all district rules and regulations ensuring efficient operations of the admissions and registration front desk. *
  • Inform and educate staff about behavior and performance expectations, provide timely and accurate feedback regarding performance, and ensure performance and behavioral problems are corrected promptly and effectively. *
  • Serve as a subject matter expert and department trainer for related policies and procedures such as FERPA; Guided Pathways; college, district, and state policies; and regular updates to the ctcLink (PeopleSoft) student management system. *
  • Answer questions, perform research and solve problems for staff, students and the public verbally or in writing and inform individuals of other student services available to them. *
  • Develop and implement department processes, forms, and workflows in order to maintain consistency within SFCC and Community Colleges of Spokane (CCS). Maintain documentation in the form of a shared desk manual for front line admissions functions. *
  • Ensure accuracy of data input into electronic database systems and generate reports as required. *
  • Serve as a trained power user for the customer relationship management (CRM) system and Chatbot. Integrate use of these platforms into existing workflows for frontline admissions staff. *
  • Maintain knowledge of current residency and citizenship guidance to determine status. Collaborate with the Associate Registrar for final determination when needed and provide timely and accurate information to Financial Aid. *
  • Work with department leadership to set department deadlines regarding procedures for applications, reactivations, and acceptance to the college. *
  • Order, receive, and maintain office supplies. Process travel and reconcile purchase card for department employees as assigned by the Director of Admissions & Registration. *
  • Regularly communicate with the Manager of Outreach & Onboarding and leadership from Financial Aid, Counseling, Concurrent Enrollment and Global Education to ensure alignment of timing and processes. *
  • Model professional decorum and mutual respect in all personal interactions. *
  • Comply with district policies, procedures and directives, state and federal regulations, orders and statutes and collective bargaining agreements. *
  • Support and advance the CCS strategic plan, and perform other duties as assigned. *
  • Indicates this is an essential duty.

This position is designated a bargaining unit position.

COMPETENCIES & OTHER REQUIREMENTS

REQUIRED COMPETENCIES (MINIMUM QUALIFICATIONS)

  • Two (2) years or more years of experience in an admissions, registration, outreach, or related departments that have included working with a complex student information system. Or an equivalent mix of education and experience that demonstrates the candidate meets all competency requirements for this position.
  • Ability to use computerized information/software relevant to the position, including student management system, CRM, and cloud-based Microsoft Office suite (Word, Excel, Outlook).
  • Ability to work successfully in a team-orientated environment. Experience with team leadership and/or project management which may or may not be as a direct supervisor.
  • Demonstrate ability to learn new processes, software, workflows, and train front line admissions staff to adopt new processes.
  • Excellent customer service skills and conflict resolution, in a variety of modalities.
  • Ability to accurately interpret rules, policies, and procedures.
  • Excellent interpersonal, verbal, and written communication skills and the proven ability to work successfully with multidisciplinary teams and diverse populations in a customer service environment.
  • Ability to complete projects with attention to detail and accuracy and work independently in absence of supervisor.
  • Demonstrate professional and personal integrity and ethics regarding fairness to all college applicants.
  • Ability to multitask and handle difficult situations in a calm and professional manner while maintaining a high level of confidentiality.
  • Acceptance of the responsibility to promote the welfare and best interests of students at all times.
  • A demonstrable understanding and acceptance of the mission, values, goals, objectives and strategic plan of CCS.
  • The ability to perform assigned duties in a manner consistent with applicable laws, regulations and goals of the institution, and community and technical college system.

PREFERRED COMPETENCIES (DESIRED QUALIFICATIONS)

  • Associate degree from an accredited institution, or an equivalent mix of education and experience that demonstrates the candidate meets all competency requirements for this position.
  • Knowledge of or experience using a student management system such as PeopleSoft, as well as emerging technology such as cloud-based document storage, virtual meeting platforms, customer relations management (CRM) systems, and Chatbot.
  • Understanding of admissions requirements, registration cycles and the steps students must take to complete successful registration quarter after quarter.
  • Knowledge of applicable federal (FERPA), state, district, and college policies, procedures, and initiatives such as Guided Pathways.
  • Proven record of successful supervisory experience in a people-orientated environment.
  • Commitment to closing equity gaps in higher education created by racial, social, and economic differences.

CONDITIONS/TERMS OF EMPLOYMENT

TOTAL COMPENSATION WITH BENEFITS: $56,945 - $71,008.

Total compensation is an estimate based upon adding the following amounts together:

  • Base compensation of $39,852 - $53,100, plus
  • Current employer-paid health and related benefit contribution rates, plus

  • Median retirement fund contributions.

The actual total will vary depending upon each employee's enrollment choices.

Person hired must be able to provide acceptable documentation of U.S. Citizenship or lawful authorization to work in the United States. This is an absolute condition of employment.
