Position Summary:

Reporting to the Long-Term CareWorks Director, the Administrative Support Specialist will be part of a team of professionals who help deliver the benefits of labor-management Trusts. The Administrative Support Specialist is responsible for providing project management support, Board support, logistical and event coordination, and performing office administration functions. This position will be responsible for creating, maintaining, or enhancing logistical support and project management structures to accomplish the day-to-day work of the Benefit’s program.


Essential Functions:

  • Work under the direction of the Long Term CareWorks Director to ensure program outcomes are reached
  • Maintaining a calendar of outreach activities, including community events, workshops, appearances, and other community opportunities.
  • Assist with planning and implementation of outreach activities
  • Nurturing new and old relationships with collaborative partners
  • Scheduling regular outreach exhibitions in the community
  • Assist with venue schedules for education and other participant focused events, creating a long-term plan for venues across various locations in Oregon
  • Coordinate travel, catering, and meeting arrangements for staff including itineraries and materials.
  • Prepare a variety of correspondence, spreadsheets, and fact-finding reports, and other materials, from draft, or general instructions from staff and leadership
  • Compose and prepare letters and reports determining proper formats, providing quality proofreading skills and knowledge of current English grammar rules
  • Screen and direct walk-ins and telephone callers, provide general information; take clear, concise messages
  • Assist in enrollment and education efforts, including sending emails for paperwork collection and other campaigns
  • Responsible for the formulation of and continued updates of office procedures
  • Maintain inventory of department office supplies and order replenishment of supplies as necessary in a timely manner
  • Maintain office filing systems/server systems; maintain database records; maintain inventory and related records utilizing appropriate administrative, physical, and technical safeguards in compliance with HIPAA and HITECH.
  • May provide general administrative support duties shared with the Support Assistant that include but are not limited:
  • Assist with recruitment correspondence for outreach
  • Prepare, maintain, and take down meeting rooms for participants and our staff meetings
  • Coordinate communication with participants on a variety of topics and process mail coming in regarding people’s healthcare
  • Provide photocopying, faxing, scanning, and other equipment support for staff.
  • Maintain schedules for meeting rooms in the office. Maintain organized workspace, breakrooms, front desk area, and materials
  • Distribute incoming communication to the appropriate staff (i.e., Mail, fax, emails, voicemails, etc.)
  • Maintain the schedule of meetings spaces in the office
  • Process outgoing mail
  • Develop core competencies in all aspects of the Trusts, to include, but not limited to Affordable Care Act, Medicaid, Medicare
  • Work with and protect sensitive and confidential information using appropriate administrative, technical, and physical safeguards in compliance with HIPAA and HITECH
  • Working with diverse communities, including members from different socioeconomic, racial, religious, and language backgrounds including members who identify as LGBTQQI

Knowledge, Skills, and Abilities:

  • A demonstrated commitment to healthcare and empowering workers
  • Self-motivated with ability to work well independently and to think on your feet
  • Ability to manage multiple projects simultaneously
  • Excellent communications skills required
  • Ability to work with a team
  • Ability to pass a background check and federal authorization process to work with information that enrolls people in the Affordable Care Act
  • Must be able to use the software and hardware to track conversations and issues
  • Ability to manage multiple projects simultaneously.
  • A commitment to advancing the voice and conditions of Oregon’s long-term care workers

Experience:

  • At least one year of experience with administrative duties
  • Experience working in a long-term care facility preferred


Working Conditions:

  • Able to travel between worksites and/or meeting locations within the state
