Wellesley Design Consultants is a well-established interior design firm specializing in senior living communities and other types of projects. We are located in Haverhill Massachusetts. We are a small office offering a casual, congenial work environment.

We are looking for a part-time procurement specialist & project coordinator to join our team. This individual is responsible for placing accurate orders (attention to detail is critical) for FF&E with manufacturers and distributors, starting with specification verification to arranging and coordinating installation with outside contractors. Familiarity with the interior design and furniture industries is essential. The procurement process utilizes a FileMaker database, customized for the firm’s requirements to specify product, place, and track orders.

Procurement Job Responsibilities

Budgeting and Preliminary Design Phase

1. Assist with development & review of FF&E preliminary budget.

2. Review and update budget as required, working in conjunction with finance/accounting.

3. Assist with the preparation of specifications and verify floor plans, size, placement & quantity.

4. As requested, assist with the sourcing of unique or specialty items.

Pre-Procurement Phase

1. Obtain product pricing, to include cost, relevant discounts, production time, freight charges, and any other costs associated with delivery of product. Written quotes from vendors and/or sales representatives is required.

2. Evaluate reasonableness of quotes.

3. Verify that all necessary information is included in the specification. If not, consult with specifier to fill in any gaps. Verify that any large items can fit through doorway, stairs & in elevators.

4. Issue quotation to client, including terms, delivery time, etc.

5. Upon approval from client, receipt of deposit (cleared funds), proceed into procurement phase.

6. Confirm & verify state contracts and buying programs for specific projects.

Procurement

1. Issue complete and accurate Purchase Orders, including tagging instructions.

2. Knowledge of fabric treatment/code/quantity/lead time.

3. Produce Project Tracking Report. Input new information as developed. Monitor progress of procurement process against established milestones.

4. Review and/or chase order acknowledgements. Respond to any questions/make necessary adjustments or reselections.

5. Issue deposit/payment requests to finance/accounting as necessary.

6. Maintain files for each purchase order.

7. Monitor estimated ship date - expedite as necessary.

8. Collecting & compiling fire certificates for client.

Installation

1. Plan, coordinate and oversee the installation contractor, including on-site oversight (i.e., check for loading dock, truck size constraints etc.).

2. Working with project designer, create punch list and action plan.

Candidates should have experience and knowledge of Microsoft Suite (Word, Excel, PowerPoint, Outlook) and Bluebeam. The ability to read floor plans is essential.
