This job might be an outstanding fit if you:
Have experience providing full administrative support for an office and supporting the business and personal administrative needs of a senior executive. Schedule flexibility, multitasking, proactivity, and organizational skills are the key. Strong knowledge of Microsoft Office products, excellent verbal, writing, organization, and communication skills. Bi-lingual (English & Spanish).

Office Management duties will include:
  • Manage the office lease. If needed, locate and procure new space.
  • Manage the relationship, agreements, and contracts with landlords, including interfacing on construction projects
  • Manage contract and price negotiations with vendors and service providers
  • Manage ongoing relationships with various vendors
  • Schedule regular maintenance
  • Manage insurance including office property and casualty, car insurance and worker’s comp
  • Manage maintenance projects in the office and the residence
  • Oversee the day-to-day operations of the office, including managing administrative staff, managing office supplies, and maintaining the office environment
  • Purchase office supplies and equipment and maintain inventory
  • Interface with IT resources to ensure equipment works in both the office and the residence
  • Manage local support resources (i.e. cleaners, food supplies, exterminator)
  • Ensure bills are paid and accounted for in QuickBooks
  • Partner with HR to maintain office policies

As a small team, the office manager will also do primary work including:
  • Calendar management, including business and personal scheduling and managing meetings during the day
  • Coordinating travel for the executive and his family, including commercial and private flights, hotels and car service
  • Print and organize material for the executive
  • Pay bills and record payments in accordance with the office practices
  • Reconcile credit cards

Personal duties will include supporting the executive and his family:
  • Manage the house staff
  • Execute personal errands (Shopping, misc local errands)
  • Purchase supplies
  • Manage personal travel
  • Manage vehicles (registration, car washes, maintenance, insurance)
