Position Summary: The position of Payroll Administrator is responsible for administering the payroll processing for multiple companies. This position ensures the accurate and timely processing of multi-state payrolls for assigned companies in accordance with all federal, state, and local laws.

Essential Functions:

  • Maintain current knowledge of regulatory policies and procedures that govern time collection, payroll processing and taxation.
  • Maintains employee confidence and protects payroll operations by keeping information confidential.
  • Review wage computations, and other information to detect and reconcile payroll discrepancies.
  • Process approximately 9 multi-state payrolls accurately and timely, consistent with federal and state laws.
  • Process all manual (off cycle payroll runs) pay/hour issues, voids, and stop payments in all systems.
  • Supports and executes activities related to the disbursement of payroll for all employees. This includes running payroll and submission of payments via ACH or pay cards.
  • Responsible to reconcile each payroll processed to ensure all payments have been properly processed and appropriate taxes/deductions withheld as scheduled.
  • Maintain standard work instructions for payroll processing.
  • Respond timely to employees regarding inquiries or payroll related issues.
  • Analyze the reasons for payroll errors and work with OTL, Human Resources and managers to resolve issues.
  • Process involuntary deductions (garnishments, levies, and child support).
  • Enter, maintain, track and process tax and direct deposits entries for employees.
  • Maintain a wide variety of payroll information, files, and records in written and electronic formats for the purpose of providing an up-to-date reference and audit trail for compliance.
  • Use Ivanti Tracking System for all cases such as phone calls, emails, payroll entries, etc.…
  • Run reports as requested or needed for payroll processing and for other departments as needed.
  • Must maintain confidentiality and exercise extreme discretion with all payroll and employee data.
  • Provide back-up support to other payroll team members as needed.

Minimum Requirements:

  • 3 years of related payroll experience
  • Proficient in use of payroll processing software. (ADP/Oracle Software preferred)
  • Ability to deal and work well under pressure
  • Knowledge of payroll and accounting practices, principles, and laws
  • Strong attention to detail
  • CPP/FPC certification is a plus
  • Advanced Microsoft Excel skills
