Mandatory COVID-19 guideline:

As of March 15th, 2022, all onsite JSH employees must have received the necessary doses to complete the COVID-19 vaccine series (i.e., one dose of a single-dose vaccine or all doses of a multiple vaccine series) or have been granted a qualifying exemption, or are identified as having a temporary delay as recommended by the CDC. JOB SUMMARY

The Preregistration Supervisor has the primary responsibility for the assisting the Patient Access Director with the operation and functions of the Patient Access areas with a focus on Scheduling, Insurance Verification, and the Pre-Registration areas. This position is responsible to ensure timely and accurate scheduling services for the physician community, act as a physician office liaison, establish pre-certification protocols to reduce denials due to authorization errors, provide pre-registration services in advance of outpatient tests and/or procedures.

Pre-Registration Supervisor to be responsible for the implementation of ongoing quality, productivity, and efficiency by supervising team members within the designated area of responsibility within the Patient Access Department.

  • Adheres to professional standards, hospital policies and procedures, federal, state, and local requirements, and TJC standards and/or standards from other accrediting bodies.

ESSENTIAL FUNCTIONS

  • Provides operational guidance and support to assigned staff under the direction of the Patient Access Director, disseminates policy/procedure updates, and supports coverage of other departmental divisions, as required. Serves as technical advisor and resource to staff and the Director
  • Responsible for the development of work schedules and assignments to ensure cost effective staffing providing optimal workflow needs that meets performance requirements
  • In coordination with the Director may participate in the redesign of Patient Access processes and systems to improve service, data integrity, and staff productivity/quality to achieve departmental goals and process outcomes
  • Develops effective decision-making, communications, and interpersonal relations to ensure a positive image of Jennie Stuart Health and the client, and to ensure customer satisfaction, supporting and portraying strong customer service philosophies in all encounters
    • Provides timely and professional follow-up to customer complaints and issues
    • Ensures problem resolution and corrective action for long-term solution, coordinating such effort across intra and inter-departmental channels
    • Provides function-specific training, including staff orientation / onboarding and continuing education
    • Cross-trains and supports the functions of all centralized patient access functions.
  • Orders supplies and other materials in compliance with budgetary constraints
  • Reviews employees work regularly, discusses problem areas, and maintains periodic documentation, as needed. Makes recommendations regarding personnel actions and follows-up, as warranted. Mentors and coaches preregistration personnel to ensure positive outcomes
  • Completes the work schedule, ensuring adequate and appropriate coverage and performance. Manages to the department budget, minimizing Overtime, when possible
  • Provides and documents all actions and activities regarding needs for employee disciplinary / corrective actions to the Director for follow-up
  • Provides input documentation to employee's performance during orientation and annual reviews
  • Maintains fiscal accountability for assigned area of responsibility by identifying new operational, capital and program needs, monitoring staffing allocation in alignment with customer service goals, and by meeting budget parameters
  • Analyzes and displays data in meaningful formats; develops and communicates policies/procedures and other business documentation; conducts special studies and prepares management reports, including key performance Indicators as they relate to the division (insurance verification rate, scheduled patient rate, pre-registration rate, authorization resolution rate, etc.)
  • Maintains a working knowledge of applicable Federal, State, and local laws and regulations, Jennie Stuart Health's policies and procedures in order to ensure adherence in a manner that reflects honest, ethical, and professional behavior
  • Serves as relief support and a "super user" for new programs, processes, and technologies.

Required Skills


Required Qualifications:

  • High School diploma, GED or equivalent
  • 3+ years of experience working in a hospital Patient Registration Department, physician office setting, healthcare insurance company, revenue cycle vendor, and/or other revenue cycle role.
  • 1+ year Supervisory experience

Preferred Qualifications:

  • Certified Healthcare Access Associate (CHAA) from the National Association of Healthcare Access Management (NAHAM)
  • Associates or bachelor’s degree in Business/Management, Healthcare Administration, or other Healthcare discipline
