Essential Duties and Responsibilities
  • The part-time Administrative Assistant will provide Port Engineer (PE) Program Support
    • Provides on-site administrative and training support to Program Manager and Deputy Program Manager.
    • Creates CDRL coversheets and reviews CDRL content for administrative errors.
    • Maintains e-mail distributions lists.
    • Prepares PowerPoint presentations and briefs.
    • Manages Program Support Action Item tracker.
    • Participates in weekly Program Support and Program Review meetings.
    • Supports PE Orientation, PE Indoctrination, and other training classes.
      • Assists with the new hire check-in process.
    • Support property disposal processes.
    • Coordinates shipping of Program materials.
    • Prepare procurement requests, including researching vendors, gathering estimates, etc.
      • Perform receipt inspection of Program materials.
    • Provides awards and recognition support (i.e., monthly BZ recognitions).
    • Coordinates local PE meetings and special events (i.e., monthly BZ recognitions, retirement luncheons, Port Engineer Training Symposium, and assists with event execution.
    • Assists with PE Program studies, process improvements, and special projects.

Travel
  • This position includes a low level of travel.

Education, Knowledge, Experience, Skills, and Abilities Required
  • A high school diploma or GED equivalent.
  • Proficient in Microsoft Office including Word, Excel, PowerPoint, Outlook, Access, Project, Visio, and Adobe Software.
  • Strong and professional verbal and written communication skills.
  • Excellent time management skills, strong organizational and planning skills, and ability to multi-task and prioritize work.
  • Must be able to work independently.
  • Must be detail-oriented and accurate.
  • Knowledge of clerical practices and procedures.

Qualifications
  • Active DoD Secret security clearance is highly desired, however, candidates who are eligible to obtain and maintain a DoD Secret security clearance will be considered. If the selected candidate does not hold an active clearance, he/she will receive a contingent offer. A start date will be established once an interim Secret clearance is granted.
  • U.S. citizenship required.
  • Must possess a valid driver’s license.

Physical Requirements
  • Sitting for long periods of time, standing, walking, crouching, and kneeling.
  • Reaching, handling, and using equipment, keyboards, and mobile devices.
  • Lifting boxes (files and supplies) up to 20 lbs.
