The operations secretary provides full secretarial and administrative support with a variety of clerical activities and related tasks. Occasional evening and weekend work may be required.

Essential Functions

The operations secretary

  • Transfer and set up conference calls and assist the front-desk receptionist.
  • Set up meetings.
  • Distribute invoices.
  • Assist in the distribution of paperwork.
  • Maintain necessary documents.
  • Request information from vessel coordinators.
  • Collect information needed to apply for visas and licenses.
  • Assist coordinators and managers.

Minimum Qualifications

  • Computer proficiency and technical aptitude with the ability to use Microsoft products
  • Proven ability to work effectively in a team environment with coworkers
  • Capability of effective planning and priority setting
  • Ability to manage several complex projects simultaneously
  • Communication and organization skills
  • High-school diploma or equivalent
