Overview:
Team Select Home Care is looking for an Operations/Office Manager to join our Team Select family in the Conshohocken office. The Operations manager is an operationally oriented individual in the Team Select Home Care Long-term Home Health Division.

This person is a tech savy, solution creator that plans & implements detailed action plans with a sense of urgency and organizational & follow up skills. Supports ongoing administrative & project management requests related to office functions that drives efficiency, compliance and company culture. An independent driven team member that is someone capable to partner with the region’s leadership team to maintain the company culture and support the regional goals. They will work closely with the Area Director of Operations as needed. The Manager of Operations reports directly to the TS2 Director of Operations or designee.

Salary: $65,000 - $85,000 / year
Responsibilities:

  • Manages company calendar and office email communication. Plans and coordinates with the Director of Operations or designee.
  • Provides overall office direction and support by answering questions and requests. Serves as a filter for general office related questions.
  • Manages and supports employee engagement for staff.
  • Manages office events. Plans, organizes, shops, set up & clean up.
  • Oversees overall office management, image and organization. Ensures office productivity and efficiency are maintained.
  • Performs daily opening/closing procedures for office. Ensures music is on and playing according to office vibe/image. Troubleshoots with IT as needed.
  • Drives operational efficiency by managing office costs and reporting any budget concerns to the Director of Operations or designee.
  • Supply/Ordering Management: Maintains office supply inventory by checking stock regularly to determine inventory level; anticipating needed supplies. Receives, inventories, unpacks and organizes supplies. Maintains inventory of all static items- forms, binders, folders, swag, gloves, PPE, etc. that are shared by office staff.
  • Coordinates marketing orders with marketing team and supports social media (taking pictures, submitting to marketing etc). Provides ongoing TV content updates to marketing
  • Direct management and supervision of the Office Assistant role and any other contracted services.
  • Manages the refrigerator cleaning schedule. Performs daily office reorganization and clean up. Manages the supply closet organization.
  • Serves as the main point of contact for the office building.
  • Ensures operation of equipment by managing preventive maintenance requirements with calling for repairs; maintaining equipment inventories; implementing new equipment and techniques.
  • Manages office operations (maintains and manages office accounts-printer, phones, shred it, water, Sharps, & other accounts).
  • Expense management. Completes monthly expense report for company credit card.
  • Works closely with TS2 & TS204 Directors of Operation on office expenses to verify appropriate categorization of invoices per specific program.
  • Supports ongoing administrative requests related to office management. Communicates any overall concerns back to leadership as needed.
  • Provides IT administrative support as needed and event presentation set up and coordination.
  • Contributes to team effort by accomplishing related results as needed.
  • Supports initial enforcement of office related policies and procedures and defers to Director of Operations as needed. Supports HIPAA compliance around the office.
  • Promotes and supports overall office morale/company culture.
  • Completes errands as needed.
  • Manages incoming & outgoing mail/packages.
  • Manages nurse orientation lunch ordering.
  • Misc. administrative & project management support as needed
  • Manages routine (external) staff mailings. Birthdays, 90 days, 6 months, occasional 1 off service touch point kits.
  • Operates with a sense of urgency to drive operational efficiency.
Qualifications:
  • Bachelor's degree in Business/Marketing/Communications/Provider Relations preferred
