The Opportunity

With an initial commitment of $350 million (and counting), The Just Trust (TJT) seeks to hire an early career operations enthusiast to support our finance and people operations work. After a year with fiscal sponsorship TJT recently spun into its own 501(c)(3) and 501(c)(4) and the team needs additional capacity to ensure operational excellence at all levels of the organization. The ideal candidate is someone who is an excellent project manager, detail oriented, takes initiative, and has experience with administration and systems maintenance. This person also loves ensuring that the internal organizational systems are done with attention to detail and quality so our program and external facing teams can focus on tackling big, systemic issues. They love being proactive but know how to react with precision. They are excited by the idea of supporting a small, scrappy, hardworking team focused on big, big challenges. This role reports to the VP of Finance and Operations and will have the opportunity to work closely with our Managing Director and Grants Manager.

Operations Support

Work closely with the VP of Finance and Operations to ensure smooth daily business operations, including:

  • Assist in the implementation of organizational policies and procedure
  • Support the Finance and Operations team with management of workflows and tracking priorities ties to our annual plan and team goals
  • Maintain organization wide filing protocol, ensuring quality file management and data systems.
  • Build and maintain an internal intranet system for information storage and sharing
  • Utilize, update and generate reports in constituent databases (CRM, GMS,etc)
  • Coordinate meeting logistics for both on-site and off-site meetings, including renting space and catering services as needed, travel arrangements, and preparing meeting materials
  • Support staff to troubleshoot operations, IT, and other technical issues and escalate as needed
  • Manage organizational event and meeting calendaring
  • Support staff travel arrangements and booking through our travel platform
  • Work with staff to ensure consistent implementation of policies
  • Manage integration of secure systems across departments, including secure IT and data systems

HR Support

  • Assist with administrative aspects of the recruitment process, including posting open positions; routing and archiving resumes; scheduling interviews; handling correspondence with applicants; and coordinating reference checks
  • Prepare new hire paperwork, employee handbook and physical and electronic personnel files for new employees
  • Ensure return of all relevant paperwork from employees
  • Assist with employee onboarding and orientation as appropriate

Financial Administration Support

  • Ensure all financial operations are implemented with attention to detail and compliance
  • Ensure optimization of finance workflows across departments and functions
  • Manage vendor and consultant relationships and track agreements/contracts, NDAs, and invoices
  • Review coding for all staff expenses and flag issues to VP of Finance and Operations
  • Research businesses, vendors, and consultants that align with TJT’s core values
  • Reconcile team credit card statements each month
  • Process grant and contribution payments
  • Support annual audit process and year-end financial tasks

Requirements

Essential Skills, Qualities, and Competencies

  • A deep alignment and commitment to criminal justice reform and safe communities
  • A minimum of three years of operations and/or administrative experience
  • Experience with expense reporting, form building, and eSignature software
  • Experience managing vendors and contractors
  • Familiarity with Google Workplace, collaborative file storage systems such as Google Drive, and work organization systems like Asana
  • Comfort with Zoom as a primary means of communication
  • Strong project management, time management, and planning skills, with a demonstrated ability to take initiative and drive projects forward independently
  • Demonstrated success in organizing work, attention to detail, meeting deadlines, and setting priorities
  • Ability to work both independently and collaboratively
  • Expert at using a computer to perform work-related tasks.
  • Takes confidentiality seriously
  • Ability to prioritize assignments and manage projects across multiple departments
  • Strong information technology skills and skilled at quickly adapting to new technical systems and supporting the implementation of systems organization-wide.
  • The ability to thrive in a dynamic and rapidly growing organization
  • Comfortable and confident in explaining processes
  • Invested in staying up-to-date on useful tech practices and software that facilitates our workflow

Preferred Skills, Qualities, and Competencies

  • Previous experience working with leadership
  • Nonprofit experience and/or experience in philanthropy is a plus.
  • Experience with a fully remote team across time zones
  • Specific tool administrative experience and exposure: Google Workspace, Asana Project Management Tool, Expensify or any expense management tool, CRM tools or any grant management system, Bill.com, AP management tool, Docusign, eSignature platform

  • Physical requirements include: long periods of sitting, working on a computer in chunks of time that can extend to 8 hour days, consistent communication via computer, driving/being transported for occasional travel.l

The person holding this position may also work part-time for a coordinated project, The Just Trust for Action, a 501(c)(4) organization, under a resource sharing agreement between The Just Trust for Education and The Just Trust for Action. The responsibilities under that position will be overseen by The Just Trust’s CEO.


What We Offer

  • The salary range for this role is $75,000-$85,000 depending on experience and location.
  • A comprehensive benefits package that includes employer-paid health, dental, and vision insurance for employees and their dependents.
  • Up to 10% employer match on 401k contributions.
  • 4 weeks of vacation and 2 weeks of personal time off as well as 10 paid holidays and 2 weeks of paid office closures.
  • All full-time employees are eligible for a $50 fitness and $50 internet stipend as well as a $75 monthly reimbursement for phone use.

COVID-19 Policy

Our remote team comes together in person 2-3 times a year and travel is required to attend in person meetings, events, or conferences. To center the safety and well-being of its employees, all employees will be required to take a COVID test before traveling and attending an in person work event.
