Job Title: Office Manager

The Colorado Center for Assessment & Counseling is a thriving and growing mental health private practice with locations in Fort Collins and Johnstown, Colorado. We have a multi-disciplinary team that provides neuropsychological testing, counseling, and groups for children, teens, adults, couples, and families. We've grown steadily over the last 10+ years to meet the needs of our community in a purposeful and effective way, and we aim to be the first and best choice for mental health services for all of Colorado within the next 5 years.

We have a well-rounded team consisting of psychologists, social workers, marriage & family therapists, graduate practicum students, post-graduate interns, and postdoctoral residents. Summary: This is a full-time leadership position (35-40 hours/week). Responsibilities primarily include leading the Administrative and Finance teams and working collaboratively with the CCAC Leadership team on policy and business decisions for the agency. The Office Manager is responsible for training, overseeing, and supporting the Administrative and Finance teams as they directly facilitate the client journey, and ensuring competency, compliance, and a positive team culture for these team members. The Office Manager is also responsible for developing and implementing effective administrative systems.

Responsibilities:

  • Overseeing clinicians’ schedules and ensuring appointments are appropriately scheduled and cancellations are filled
  • Lead weekly Admin and Finance meetings
  • Attend weekly Leadership meetings and complete relevant agency goals and objectives by the assigned deadlines
  • Facilitate bi-weekly (or weekly) check-ins with all team members
  • Create and implement administrative policies and procedures, and communicate these clearly with staff
  • Participate in interviewing, hiring, training, remediation, and termination of new Admin and Billing staff members (with support from leadership team)
  • Ensure that all administrative client care provided by the agency is of high quality
  • Hold annual reviews with Admin and Finance staff members
  • Attend Agency-wide Staff Meeting once per month
  • Attend quarterly business consultation meetings with Leadership team

Qualifications:

  • At least 2-5 years of experience in management
  • At least one year of experience working in a medical or mental health office setting
  • Knowledge of mental health terminology, billing and coding, and mental healthcare regulations (preferred)
  • Strong leadership skills, including the ability to manage and motivate staff
  • Excellent communication skills, both written and verbal, as well as strong interpersonal skills
  • Ability to multitask, prioritize, and manage time effectively in a fast-paced environment
  • Proficiency in computer skills, including experience with electronic health records (EHR), practice management software, and Google Workspace applications
  • Strong organizational skills and attention to detail
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Highly effective working independently, as a leader, and collaboratively as part of a team

Compensation/Benefits:

  • Hourly pay of $24.32/hr to $30.40/hr depending on qualifications
  • PTO and Sick Time Off
