Job Description

Job Summary

The Barrington Downs Resident Service Associate is responsible for assisting residents with any troubles or inquiries that they might have. Resident Service Associates deal with residents in person, but often help residents over the phone or via email. A Resident Service Associate must possess a service-oriented attitude, as well as a friendly and personable attitude. This position is accountable to the President of the Trustee Board and Smith Management.

Job Duties and Responsibilities

Duties include but are not limited to:

  • Coordinate with residents to resolve any homeowner inquiries. When issues are discovered they should be reported to the Trustee Board and Smith Management.
  • Act as the first point of contact for resident seeking help with homeowner issues. Those issues should then be reported to the President of the Trustee Board and Smith Management.
  • Provide troubleshooting and technical assistance to residents. Assess the residents needs and translate into solutions.
  • Coordinate and maintain calendar for clubhouse rentals; issue recreation identification cards, and work during residents gatherings and parties.
  • Update website with current information.
  • Other duties as assigned.

Time off request

All request for time off needs to be sent in writing to the President of the Trustee Board and Smith Management so that all persons are aware of staffing, That coverage needs to be discussed between associates so that coverage is maintained during the designated hours of operation. Once that has been agreed upon between the staff, that request is then sent to the Trustee Board and Smith Management. At no time should the office be unmanned, as that time will be considered time off without pay for the requester.

The Resident Service Associate will take minutes at the monthly Trustee meeting and distribute to all Board members within 7 days after they have been approved by the Board Secretary. They will also collect the minutes of all committees and distribute to all board members and committee chairs within 7 days of receipt.

  • 6:00 am - 9:00 pm (gym hours) Holidays and weekends

Requirements

Knowledge and Skills

  • Knowledge of conflict resolution techniques at a proficient level.
  • Professional communication skills (phone, interpersonal, written, verbal, etc.).
  • Professional customer service skills.
  • Self-motivated, proactive, detail oriented and a team player.
  • Time management and time critical prioritization skills.
  • Bilingual preferred (English/Spanish)
  • Website knowledge
  • Knowledge of general office equipment (copier, fax, phone systems, etc.).

Education and Experience

  • High School diploma or GED Required
  • Associates Degree Preferred
  • 0 - 3 years of directly related or closely related customer experience
