Performs a variety of administrative duties that relieves the Senior Coordinator/Deputy Senior Coordinator of RMP of administrative responsibilities such as calendar management, drafting documents, tracking taskings and correspondence for RMP, conducting re- search, planning meetings and executing engagements with internal and external stakeholders

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Performs high-level office support duties and provides specialized operational support for RMP and serves as back-up for subject matter experts.
  • Reviews requests for information and routes them to the appropriate RMP staff member.
  • Prepares and edits RMP’s Standard Operating Procedures and ensures they are kept up-to-date on the Hub.
  • Works closely with J/TIP’s budget team and provides fiscal data for fund cites, printing and taxi voucher requests.
  • Prepares correspondence, reports and other documents in a timely manner. Ensures correct grammar, spelling, capitalization, punctuation and appropriate format in documents prepared by self and others.
  • Orders and maintains office supplies and keeps track of expenses in Ariba. Works closely with J/TIP’s credit card holder during the reconciliation process. Prepares work orders for upkeep of office property. Stores and tracks office equipment such as iPhones, laptops, iPads, and computers.
  • Submits time and attendance via the Department’s timekeeping system and resolves pay discrepancies.
  • Receives senior government officials, high ranking personnel, visitors and phone calls from the private, public and non- profit sectors.
  • Accurately determines the nature of the request and refers callers to appropriate staff. Follows up on telephone conversations; takes appropriate steps to ensure necessary action is initiated; subsequently assures that such action is completed as quickly as possible; tracks and assures proper execution of all commitments made and obligations incurred in telephone conversations, personally makes necessary contacts with the officials and individuals concerned.
  • Assists J/TIP’s Human Resources Officer to onboard and out-process employees.
  • Establishes and maintains office records of various types that may be needed or will assist in the efficient operation of the office.
  • Works closely with J/TIP’s Unit Security officer and is responsible for the receipt, control, logging, safekeeping and necessary action on all classified material received.
  • Takes the lead on ad hoc projects as determined by RMP’s Senior Coordinator

EDUCATON AND EXPERIENCE

  • High school diploma.

KNOWLEDGE, SKILLS, and ABILITIES

  • This position requires an Active Secret Clearance.
  • This position requires candidates to have US Citizenship
  • English language (written and spoken).
  • Well versed in Microsoft 365 products (Word, Excel, Power Point, Outlook, Teams)
  • Demonstrated ability to provide excellent customer service.
  • Ability to demonstrate excellent organizational, interpersonal, and analytical skills.
  • Demonstrated ability to communicate effectively both orally and in writing.
  • Demonstrated ability to assist with the day-to-day administrative management of J/TIP.
  • Demonstrated ability to work effectively with others and establish positive interpersonal relationships.
  • Ability to complete assigned tasks on the computer, including on Microsoft Office software and other specialized soft- ware programs.
  • Ability to reconcile discrepancies in data and information to ensure accuracy.
  • Ability to maintain accuracy and attention to detail when completing multiple work assignments.
  • Ability to remain professional when communicating with internal and external stakeholders
