OlyCAP is seeking an Office Coordinator in its Port Angeles office. This is a full-time position with benefits. Job details are below.

OVERVIEW: Receive the agency’s clients, visitors, and telephone callers. Provide administrative support to all programs at the Port Angeles office. Refer clients to appropriate OlyCAP programs and to other social service providers. Perform general office duties and assist with coordination of facility maintenance. This position can be part time or full time, depending on employee’s needs.

RESPONSIBILITIES:
RECEPTIONIST DUTIES:

  • Provide clerical support to program staff
  • Maintain inventory of office supplies and reorder as needed
  • Answer and screen telephone calls, assist all walk-up clients, limited because office is closed, but they may require some direction. Direct clients and visitors to appropriate personnel or other programs as necessary, or take appropriate messages;
  • Schedule staff conference room;
  • Distribute employment applications and job descriptions for open positions. Coordinate activities with Human Resources. Receive completed applications;
  • Develop and maintain working knowledge of all OlyCAP programs and services, keeping up with current information to assure appropriate referrals to agency programs or outside providers as necessary;
  • Receive, handle, and receipt all incoming funds; make bank deposit and forward receipts to fiscal;
  • Perform all mail functions to include:

- Date stamping and distribution of all incoming mail
- Distribution of all interoffice mail

- Assure that outgoing interoffice mail is transported regularly

- Add postage to all outgoing mail and track postage expenses by program

-Add postage to Stamps.com when necessary

- Assure mail is delivered to the post office daily before the last pick up.

  • Maintain reception and copy areas, keeping paper and supplies stocked;
  • Prepare end of the month reports on postage and copy usage by program and submit to the fiscal office the first of the month;
  • Schedule use of OlyCAP cars and maintain car documents
  • Other duties as appropriate and assigned by supervisor

FACILITIES MANAGEMENT DUTIES:

  • Maintain office equipment, calling for repairs and ordering supplies when necessary;
  • Assist with coordination of facilities repair and maintenance; liaison with janitorial service and landlord;
  • Provide office keys to appropriate staff when needed
  • Be sure doors are locked and office is secured at closing

QUALIFICATIONS:

  • Strong administrative skills, positive professional attitude; and good rapport with the public;
  • Established computer skills; word processing, spreadsheets, and database; familiarity with Windows and MS Office
  • Ability to carry out several tasks within several programs simultaneously;
  • Ability to work under pressure;
  • Efficient, friendly, and courteous;
  • Highly motivated and able to work well with minimal supervision;
  • Valid Driver’s License
  • Ability to maintain in absolute confidence privileged information concerning both programs and clients;
  • Demonstrated skills in written and verbal communication
