Job summary:
Assist office manager with operation and management of office for facilities with five (5) or more physicians.

Duties and responsibilities (this list may not include all of the duties assigned.)
1. Maintain strictest confidentiality; performs all Medical Assistant duties as required.

2. Assist the Office Manager in developing and implementing clinical policies and procedures.

3. Advise Office Manager of problems and concerns in the facility and participate in problem solving.

4. Advise and delegate duties to back office staff members as assigned.

5. Monitors education certifications of nursing staff to assure legislative compliance.

6. Responsible for pharmaceutical handling system upgrade and compliance.

7. Schedule monthly back office staff meetings.

8. Assists with problems in diagnostic and procedural coding.

9. Attends meetings and performs other duties as assigned by the Office Manager.

10. Assists in care and upkeep of department equipment and supplies, including calibration and record keeping in accordance with current policy and procedures.

11. Completes projects assigned by Office Manager in a timely and effective manner.

12. Participates in interviewing applicants and provides information to Office Manager for hiring decisions and employee performance evaluations.

13. Trains MAs and others, serves as a resource to other clinical staff and maintains training and orientation material for MAs and others.

14. Participates in continuing education and other appropriate activities to maintain professional competence.

15. Performs lead duties for back-office staff to ensure optimal patient flow and excellent customer service in accordance with company policies, practices and procedures. Works with other staff members to foster a team approach to achieve the highest quality of patient care and staff cooperation. Supports the clinic efficiency and cohesion.

Performance requirements
Knowledge, skills, and abilities

Knowledge of organization policies and procedures. Knowledge of medical practices and systems. Knowledge of computer systems and applications. Knowledge of health care administration practices. Skill in examining and evaluating data with reference to standards and requirements. Skill in written and verbal communication. Skill in adult education and development. Ability to work effectively with all departments, staff, patients, and external agencies. First line problem solving skills with the ability to listen, understand, and solve or escalate provider issues before they become more serious.

Education
1. High school education or equivalent.

2. College or business training classes preferred.

3. Associates degree or higher; Medical Assistant, LVN or RN.

Experience and skills
1. Strong communication skills with consistent incorporation of judgement and discretion.

2. Previous minimum of two years in a office within a medical setting or two years nursing experience.

3. Demonstrated leadership capabilities

4. Demonstrated establish and maintain working relationship with all levels of colleagues.

5. Demonstrated above average organizational.

6. Demonstrated excellent customer service skills.

7. Demonstrated professional/positive attitude.

Typical physical demands
Requires full range of body motion including handling and lifting patients, manual and finger dexterity and eye-hand coordination. Involves standing and walking. Occasionally lifts and
carries items weighting up to 100 pounds with assistance. Requires normal visual acuity and hearing. Requires exposure to bodily fluids.

Typical working conditions
Frequent exposure to communicable diseases, toxic substances, ionizing radiation, medicinal preparations and other conditions common to a clinic environment.
