National Accounts Administrative Assistant – Job Description

The National Accounts Administrative Assistant is responsible for providing candidate, file, and report related administrative support to the National Account Advisors.

*Time-in-position requirement has been waived for internal candidates*

Job Responsibilities:

  • Candidate Submissions
    • Conduct quality checks on VMS candidate submissions to increase overall speed to market
    • Upload candidate profile into VMS software platform
  • Job Orders
    • Help the NAA’s with job order maintenance and pending review status
  • Report Preparation (as needed)
    • Process and compile data for the departments shared tracking reports
    • Assist in the preparation of monthly Association reports
    • Pull educational transcripts for weekly client billing and payment purposes
    • Assist in setting up VMS accounts
  • Special Projects
    • Participate in special department projects as assigned by the Manager
    • Assist Operations staff and team members in accessing, organizing, and sending pre-employment paperwork from placed travelers to facilities.
    • Will work with Operations staff and Recruiters to help resolve any issues with travelers (personal or professional).

Job Qualifications:

  • Minimum one year of successful experience with Medical Solutions/Aureus Medical or another firm with responsibilities associated with healthcare, quality assurance, compliance, or group purchasing.
  • Utilize a touch-tone telephone, view a PC screen, type at least 35 words per minute, and demonstrate proficiency in basic Windows operations.
  • Speak and write professionally and follow oral or written instructions.
  • Establish a working relationship with employees, clients, and candidates.
  • Organize workload, multi-task, and work with a sense of urgency and efficiency.
  • Use MS Office software applications and the Internet proficiently.

Preferences:

  • Degree in Business Administration, a healthcare field, or equivalent education/experience background desired.
  • Remote role with a desired schedule to work 8:00 am to 5:00 pm PST, or similar schedule in respective time zone
