POSITION SUMMARY

Responsible for assisting physicians and other healthcare providers with patient care, clerical, environmental, and organizational tasks. Responsible for appointment scheduling and chart management. Provides information to patients so they may fully utilize and benefit from clinic services. Conveys a positive image of the clinic and organization. This position will be responsible for all tasks included in the Medical Assistant job description, but will function as the lead role for staff in the assigned areas. Goals are to provide guidance to facilitate efficient, accurate operations and work processes to lead the practice to meeting quality, safety, financial and satisfaction targets.

Medical Assistants under the University of Toledo Physicians clinics provide routine clerical tasks under the supervision of a physician. Physicians may delegate to Medical assistants in the UTP Clinics certain clinical tasks as described in this policy. This position will work within a collaborative care model with residents and various specialty clinics.


ESSENTIAL JOB FUNCTIONS AND ACCOUNTABILITIES


  • Assist and manage daily operations in the clinic, adjusting staff scheduling/assignments as needed and ensuring task completion.
  • Acts as first line of contact for team members, physicians and patients.
  • Meet with other leads to coordinate care across the clinic and assign support where needed.
  • Works with manager and others to re-define processes and work flows to optimize clinic efficiencies. Works collaborative with team to design, implement and monitor new processes to achieve clinic quality and financial performance targets.
  • Provide input to practice manager on interview and hiring, and on employee performance evaluations.
  • May perform special projects as assigned.
  • Identifies and resolves problems and conflicts to ensure quality care and clinic effectiveness.
  • Perform clinical procedures under supervision of physician or healthcare provider.
  • Physical exam preparations, clinical pharmacology, drug administration through various routes including injections.
  • Must be a champion for quality indicators with the ACO and other payers to ensure progression for achieving excellent quality initiative standards on a quarterly basis.
  • Escort patients to exam rooms, interviews patients, measure vital signs, including weight, blood pressure, pulse, temperature, and document all information in patient’s chart.
  • Communicate instructions to patients as instructed by physician or healthcare provider in a clear and professional manner.
  • Ensure all related reports, labs and information is available in-patient medical record prior to their appointment (Chart Prep).
  • Prescription verifications with physician’s orders.
  • Minor surgical assists with in office procedures, surgical tray set up, pre/post op surgical care, dressing applications and suture removal.
  • Capillary, venipunctures, and CLIA waived testing procedures, while adhering to laboratory guidelines and MA scope of practice.
  • Keep exam rooms stocked with adequate medical supplies, maintain instruments, and prepare sterilization as required.
  • Take telephone messages and provide feedback and answers to patient/physician/pharmacy calls.
  • Triage and process messages from patients and front office staff to physicians and physician assistants.
  • Maintain accurate logs and required checks (i.e. refrigerator temperatures, emergency medications, expired medications, oxygen, cold sterilization fluid change, sample medication log, etc.).
  • May assist with various specialty duties, such as, but not limited to: EKG testing (assembling necessary equipment for 12-Lead EKG), pulmonary testing, urology testing, hydrogen breath testing, etc.
  • Cleaning exam/procedure rooms, instruments and equipment between patient visits to maintain infection control.
  • Fulfills organizational responsibilities as assigned which includes, respecting/promoting patient rights, responding appropriately to emergencies, sharing problems relating to patients and/or staff with immediate supervisors quickly.
  • All other duties as assigned by clinical coordinator or practice administrator.
  • Must be able to communicate in a respectful, productive and professional manner with colleagues, physicians, patients and customers both inside and outside the organization.
  • Travel may be required.
  • Performs other duties as assigned.


REQUIRED QUALIFICATIONS

  • Education:
    • High School diploma
    • Diploma from an accredited Medical Assisting program
  • Skills:
    • Demonstrated interpersonal skills to work with physicians, patients, and employees at all levels.
    • Must have the capacity to relate to people in a manner to win confidence and establish support.
    • EKG monitoring with knowledge of rhythms and variances.
  • Years of Experience: 1 year of experience in a medical office setting
  • License and/or Certification:
    • Active RMA or CMA
    • Active BLS

WORKING CONDITIONS

  • Occasional lifting of small objects weighing approximately 10 pounds; sitting; standing; walking; talking, and hearing.
  • Primarily inside in well-lighted, well-ventilated areas.
  • Exposure to medical patients in a clinical setting; including direct care and close proximity
