Position Summary:

MEDEX Northwest, established in 1969, is proud of its long-standing mission to educate health care providers who will practice primary care in medically underserved and rural areas on the UW School of Medicine service region. This is a position to work with other Didactic staff across MEDEX Northwest five campuses, located at UW Seattle (main campus), UW Tacoma, Gonzaga University in Spokane, the University of Alaska in Anchorage, Anchorage and in Kona, Hawaii to provide course support to the MEDEX Didactic faculty, as well as providing support to the MEDEX program in general. Provide assistance in organizing curriculum information, information tracking, and correspondence. Work closely with didactic faculty and staff in implementing course activities and assisting in the production and distribution of course materials. The Program Assistant reports to the Assistant Dean, located at the Alaska WWAMI School of Medical Education in Anchorage, Alaska office and also works under the general supervision of the MEDEX Campus Coordinator (located in Anchorage, AK), the Director of Didactic Program Operations and the MEDEX Administrator/Associate Director of Administration (both located in Seattle, WA).

Duties:

10Back-Up Support to Division Business Manager: Provide support for purchase requests, requisitions, soft ledgers, and reconciliation activities. Provide support for travel authorizations and travel expense reports.Essential
10Event Management: For special events, coordinates venue, identification, logistics, catering, invitations, RSVPs and technology needs. Communication Management: Maintain and update the Division and CANVAS websites, and take appropriate action to ensure material is accurate and up-to-date. Communicate critical course and program changes to students via email and through division website. Create and distribute flyers and brochures advertising special programs, courses, workshops, and special events.Essential
10Record Maintenance: Update and maintain MEDEX calendar with dates and deadlines for academic and division events; develop and manage database systems to support academic programs and activities; prepare and secure electronic and confidential physical files for student, course and graduates; follow established procedures to archive files at appropriate intervals; monitor and update scheduling databases and division web site on a continuous basis with changes in academic or contact information; update and maintain course descriptions, and major requirements for division events and programs; prepare and type confidential correspondence to students; identify program graduates and update mailing list with current contact information using Microsoft Office (Excel, Word, etc.) for assessments and self-studies for division programs and for other program requirements in accordance to college or university policies and procedures.Essential
20Faculty Support: Work with faculty and adjuncts regarding room assignments, textbook orders and desk copies; proofread and format documents, type correspondence, proctor exams; assist with travel; order office supplies, and assist in use of software. Assist faculty in preparation and completion of paperwork; maintain and update academic advising material each semester. Support for faculty and advisory board meetings by arranging, scheduling, coordinating meetings, catered functions, reserve rooms and equipment; may need to take meeting notes. Coordinate copy center, printing, mailroom support activities. Key operator for office equipment; coordinate maintenance and repair activity, when needed. Schedule and administer student evaluations each semester to meet university and faculty deadlines. Provides support to guest lecturers and proctors.Essential
20Student Services: Provide information regarding MEDEX program practices, policies and procedures. Serve as first point of contact for students, faculty and staff and provide cross support for other areas as needed. Respond to telephone, email and in-person inquiries about MEDEX and UW resources, program and graduation requirements, course availability, enrollment and registration. Verify accuracy and completeness of academic paperwork and follow procedure to route for appropriate signature approval(s); update and distribute faculty contact and advising information; assist students in use of division computer lab. Create, maintain and ensure security of confidential student records and course files. Identify program graduates and update student records.Essential

Academic Support: Provide comprehensive academic, administrative and project support. Process action items and assure fast and efficient flow of paperwork and communication for the division. Conduct research, and/or refer issues involving academic or grading problems to appropriate person. Work with key contacts at University of Washington (UW) to resolve student issues. Maintain files, collect data, and prepare reports to support MEDEX programs and activities. Coordinate meetings and special events, to include scheduling facilities, document preparation, and arrange for catering. Collect and maintain contact data for all UW students and graduates from inception through the present. Maintain confidentiality and security of student and course files. Coordinate, administer and submit student evaluations and UW scholarships according to internal policies and procedures. Maintain and update UW procedures in response to new processes and policies. Serves as the primary liaison between the Anchorage campus and the MEDEX Northwest at the UW. Schedules & Catalogs: Work with faculty and other division contacts to compile course schedules, review and submit scheduling paperwork and textbook requests, adhering to set deadlines and procedures. Coordinate with the Office of the Registrar to resolve discrepancies or missing course information and/or classroom assignments. Review and submit changes to current division program, course and contact information for publication online, in the university catalog and phone directory. Assist in editing and proofing of curriculum paperwork; track and maintain electronic and physical files of curriculum changes. Create and maintain Access databases used to develop semester course offerings.Essential
Knowledge, Skills, Abilities:
Computer skills: knowledge of advanced computer programs, such as database, word processing, spreadsheet, electronic calendar, email, and internet applications. Macintosh computers and software.

In-depth budget and accounting skills.

Communication skills: writing, grammar, editing, and proofreading - for hard copy and electronic

Preferred Experience & Education:
1-3 years in a business office.

Required Experience & Education:

Some college coursework and one year experience related to program specialty, or an equivalent
combination of training and experience; OR three years of progressively responsible
office/administrative experience.



Salary Information:

This is a full-time, 12-month, non-exempt staff position complete with both a competitive salary and full employee benefits package. New hires will be placed on the UA staff salary schedule, Grade 77, based on education and experience.
