The UHealth system at the University of Miami has an exciting opportunity for a Manager, Programs in the Radiation Oncology Department.

SUMMARY

The Manager, Programs oversees and coordinates the day-to-day operations of the assigned University programs in accordance with the institution’s academic and strategic missions. The incumbent operates with the goal of delivering high quality programs to the University faculty and staff and other key stakeholders. Furthermore, the Manager, Programs provides guidance and mentorship to program staff to encourage talent development.

CORE JOB FUNCTIONS

Plans, implements, evaluates, and monitors multiple programs. Implements project plans related to the delivery of new and on-going programs.

Works with internal stakeholders so that the program runs efficient and effectively. Evaluates and measures the effectiveness of assigned programs.

Ensures that operations are managed within authorized budgets.

Collects, manages, and reports program data.

Develops and cultivates relationships and partnerships with various external entities and organizations to further department functions.

Recruits, supervises, evaluates, and disciplines department staff to ensure optimum performance.

Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.

Ensures employees are trained on controls within the function and on University policy and procedures.

CORE QUALIFICATIONS

Education:

Bachelor’s Degree in relevant field

Experience:

Minimum 4 years of relevant experience

DEPARTMENT ADDENDUM

Department Specific Functions

Assists in the coordination of daily clinical medical physics functions with Chief of Medical Physics to ensure appropriate clinical medical physics coverage for main and satellites sites. Maintains the department’s clinical medical physics and QA activities and documentation along with respective schedules for all clinical physics faculty. Establish objectives and timelines; determining priorities, managing time, monitoring progress; problem-solving. Coordinates University and external University-related activities for each of our clinical physics faculty. Coordinates meetings and educational initiatives, and other activities that support the overall clinical physics functions of the department. Provides administrative support for the Division Head of Medical Physics and all clinical medical physics faculty which includes: scheduling and coordination of their clinical/academic calendars to include: daily functions, special events, interviews, professional meeting, lectures, off campus conferences, coordinating travel arrangements for numerous yearly conferences, departmental meetings and reimbursements. Coordinates agenda and travel arrangements for visiting professors and recruits. Acts as liaison for the Chief of Medical Physics in all capacities to maintain organization and preparedness for her administrative functions as Chief Physicist. Maintains calendar, provides routine, and general clerical support or clinical-related support which may include patient care, student services, coordinating, scheduling, developing agenda and recording minutes of monthly staff meetings. Schedules meetings for Chief of Medical Physics. Prepares correspondence on behalf of the Chief of Medical Physics to include prioritizing for their review. Assist with the day-to-day management of all clinical medical physics faculty schedules. Responsible for maintaining Chief of Physics, and all Medical Physics Faculty’s files/documents including: CV, bio-sketch updated, CME, licensures, insurance, certifications and maintains credentialing information up to date. Responsible for submitting vacation and meeting request for all clinical medical physics faculty for approval by Chief of Medical Physics. Responsible for submitting monthly absence reports for medical physics faculty. Coordinates and process meeting and conference requests to include travel arrangements (registration, booking hotel and flight). Prepares and coordinates business expense reimbursement form for each medical physics faculty. Provides day-to-day management of the clinical Medical Physics Residency training program, including administrative support to the director of Medical Physics Residency training program, administration and coordination and supervision of graduate medical education of program (GME) for the Medical Physics Residents. Manage and coordinate CAMPEP-conducted accreditation site visits for the program Coordination of clinical rotation examination provides administrative support to Medical Physics Residency Program Director, including scheduling meetings, preparation of agendas, recording and maintaining meeting minutes, development of reports and provision of data to the Residency Program Committee, including implementation of policies developed by the committee. Reviewing and screening all residency applications. Evaluate residency applications for completeness. Notify applicants of decisions for interview. Maintains data files for use in preparation of rank list for MATCH, as applicable. Coordinates resident’s clinical rotations, vacation and conference schedules. Coordinate all social functions for the Residency Program, including welcome breakfast/luncheons for new residents, departmental events and journal clubs. Provides cross-coverage for the coordinator of the Radiation Oncology Residency Program as needed during her absence as well as assigned physicians. Provides day-to-day management of the Medical Radiation Dosimetry program, including administrative support to the Program Director and Clinical Educator. Create and schedule courses for the graduate program as well as monitor and maintain student records such as evaluations, grades, course schedules, and clinical timesheets. Ensure students are enrolled in the correct courses and earning the grades necessary to pass and continue in the program. Manage and coordinate JRCERT-conducted accreditation site visits for the program and ensures that the program website is compliant and up-to-date with JRCERT requirements. Reviewing and screening all graduate student applications. Evaluate student applications for completeness and inform the admission committee of all applicants. Communicate with applicants and coordinate admission interviews as well as communicate with applicants the decision of the admissions committee. Attend meetings on behalf of the program with the Office of Graduate Studies at UM to keep OGS updated on students, the program, and future plans. Assist Dosimetry graduate program faculty members with scheduling classes, booking classrooms, arranging Zoom meetings, and any other administrative needs such as uploading grades. Maintains regular student contact to ensure students are on track with courses, research, and is point of contact for any student concerns. Schedule and organize program-related meetings and take minutes. Serves as central point of contact for potential students, must know program/UM requirements to better help applicants understand what is required of them and the program as well as answer any questions they may have about the graduate program.
