Kennel Shelter Manager

Classification: Non exempt

Summary

Works with management to fulfill the mission of the organization and provide for the welfare of the animals in its care. Works to ensure the continued evolution of the BCHS into a fully developed center dedicated to eliminating the suffering of homeless animals by providing humane care for pets in transition, facilitating adoption to good homes, supporting pet overpopulation education, and supporting sterilization of companion animals.

Provides positive leadership for the efficient and smooth functioning of all shelter operations, in accordance with established policies and procedures, borough contracts, state and federal laws and regulations. Develops and maintains effective working relationship with supervisors, staff, volunteers, and the public.

Responsible for providing training, discipline, leadership, and mentorship to all animal services staff with a focus on Animal Care Technicians in particular; ensuring the effective operation of the kennels, cattery, and building; overseeing and ensuring the general health and wellness of all animals at the shelter; and upholding the values and mission of the shelter. ​

Secondary responsibility is to have a working knowledge of the Shelter Managers roles.

  • Staff management and training -
  • Implement and train all Animal Service Technician staff on current BCHS SOP’s as requested by Shelter Managers.
  • Oversee/coordinate training of new direct reports and oversee continued education of existing direct reports. Prepares all worker assignments and schedules.
  • Communicate with Associate Director and Shelter Managers to streamline and update shelter-wide protocols and procedures to ensure the kennels, cattery, and front desk are operating at maximum efficiency and effectiveness.
  • Co-manage bi-monthly staff meetings, and quarterly staff development days with Shelter Managers.
  • Ensure direct reports are following proper protocols, offer encouragement; promote a positive, supportive, team-oriented working environment and correct issues as they arise.
  • Provide input to the Shelter Managers in regards to staff discipline as per the employee handbook, performance, attendance, and disciplinary actions.
  • Identify staff members who would excel if cross-trained in other areas.
  • Ensure proper sanitation, decontamination, and PPE protocols are practiced in all shelter areas.
  • Ensure all staff are on target to finish their tasks in a timely fashion each day to prevent unauthorized overtime and promote efficiency.
  • Fill in for direct reports as needed.
  • Hiring and onboarding
  • Coordinate the hiring/promotion of staff with the Shelter Manager; participate in interviews of new Animal Care Technicians in accordance with shelter protocol.
  • Coordinate and carry out the onboarding of direct report staff, ensuring adequate preparation and timely completion of all required paperwork.
  • Communication
  • Maintain an open communication with Senior Leadership to promote clear understanding between managers.
  • Report personnel issues to the Shelter Managers promptly.
  • Attend regular one-on-one meetings with the Shelter Manager, Foster, Facility and Outreach Manager, Animal Behavior and Enrichment Manager, and submit monthly report in a timely manner to be included in the monthly board report.
  • Maintain and promote positive communication with direct reports, volunteers, and other staff; promote good interdepartmental relations between direct reports and other shelter staff.
  • Maintain numerous files, records and statistics that include but are not limited to: animal population, adoption, and animal incidents.
  • Cleaning and care
  • Assist with, oversee, and delegate staff as needed to ensure cleaning of kennel areas, cat rooms, and interior common areas is performed as effectively and efficiently as possible.
  • Maintain cleanliness of grounds and play yard areas.
  • Manage and assist with daily and weekly kennel and cattery checklists to ensure all tasks are completed effectively and efficiently.
  • Ensure cleaning protocols are being followed correctly and make corrections to incorrect cleaning methods.
  • Oversee feeding and ensure that animals are being fed appropriate amounts at the designated time and that feeding protocols are being followed.
  • Consistently report cleaning/feeding issues and suggested solutions to Associate Director.
  • Ensure kennel signage is consistently and correctly used.
  • Ensure that special needs animals or especially messy animals receive the extra care and cleaning that they need.
  • Complete final walkthrough after all kennel, cattery, and front desk staff are done for the day.
  • Shut off all lights and lock up in kennels and cattery at the end of the day

● Manage kennel space/population

  • Ensure that each animal has appropriate housing with appropriately sized and clean water bowl and bedding; ensure that staff can recognize inappropriate housing, water, and bedding.
  • Coordinate with the Animal Enrichment Manager to create a plan for movement of animals to create combinations and move animals to appropriate locations, ensuring animals have appropriate kennelmates.
  • Complete all daily walkthroughs listed on the daily checklist.
  • Perform a weekly census ensuring animals are marked with appropriate attributes, assessments, and memos in Chameleon.
  • Communicate during weekly Manager meetings about needs and suggestions for shelter animals.
  • Ensure that all paperwork is current and on all animal enclosures.
  • Responsible for ensuring that animal flow is being met by working with the Foster, Facility and Outreach Manager for all aspects of working with rescue and foster flow, working with the Department Managers in scheduling owner surrenders and strays, working with the Animal Enrichment Manager regarding behavior flow, and discussing animals for euthanasia
  • Ensure that all off sight locations are filled in a timely manner for off sight adoption opportunities.
  • General maintenance both
  • Identify areas of the shelter property and/or shelter tools that need maintenance.
  • Work with Facility Manager and maintenance staff to ensure all low-cost maintenance issues are addressed in a timely fashion and within the allotted budget.
  • Notify Facility Manager of significant maintenance issues and follow up to ensure important issues are corrected in a timely manner.
  • Working with volunteers

Request assistance from volunteers, when necessary, work alongside them, building relationships with a focus on customer service, encouraging and providing feedback as appropriate.

Other Duties

  • Keeping the shelter in compliance with PA Dog Law and Kennel Inspections.
  • Work with Volunteer Coordinator, Shelter manager and Animal Enrichment Manager in regard to offsite adoption events.

Position Type/Expected Hours of Work

This is a full-time position, with an expectation of 40+ hours per week. Hours are somewhat flexible, and some late evenings or weekends are required.

Travel

15% travel required, including some local and some overnight.

Education and Experience

  • 3+ years in the Animal welfare field. Experience in a shelter preferred.
  • Knowledge of animal behavior, temperament and contagious diseases required.
  • 3+ years Customer Service knowledge preferred.
  • 3+ years managing staff preferred.
