Job Description / Qualifications

Job Summary

Responsible for providing administrative support to the Branch Manager by performing various operational functions and reporting. Ensures the branch is compliant with internal policies, external regulations, and standards. Works with various departments across the organization to ensure the completion of administrative and operational tasks.

Major Tasks, Responsibilities and Key Accountabilities

  • Enters operations data into the system and generates various internal and external reports.
  • Ensures the branch is compliant with accounts payable, accounts receivable, inventory, safety, Department of Transportation (DOT), fleet, and sales reporting.
  • Mitigates potential exposure to time sensitive write offs and potential losses. Audits internal sales orders.
  • Participates in order delivery, specials pick ups, cycle counts, fleet audits, and safety audits.
  • Oversees order management including order delivery and special pickup.
  • Provides internal and external customer service by problem resolution, anticipating needs, and being flexible to change.

Nature and Scope

  • Refers complex, unusual problems to supervisor.
  • Under general supervision, exercises some judgment in accordance with well-defined policies, procedures, and techniques. Work typically involves regular review of output by a senior coworker or supervisor.
  • None.

Work Environment

  • Usually located in a comfortable environment but with regular exposure to factors causing moderate physical discomfort, such as dust, fumes, or odors.
  • Most of the time is spent sitting in a comfortable position and there is frequent opportunity to move about. On rare occasions there may be a need to move or lift light articles.
  • No travel required.

Education and Experience

  • HS Diploma or GED strongly preferred. Specialized skills training/certification may be required. Generally 2-5 years of experience in area of responsibility.

Preferred Qualifications

  • Industry knowledge and previous administrative support experience.
  • Working knowledge of Microsoft Office applications.
  • Strong organizational skills, critical thinking, and interpersonal skills.
  • Ability to be a disciplined self-starter with multi-tasking skills.
