POSITION TITLE: Intake Coordinator

DEPARTMENT: Adult Outpatient Behavioral Health

PROGRAM: ACCESS

REPORTS TO: ACCESS Program Manager

FLSA STATUS: .26 FTE (10 hours), Part-Time, Non-Exempt, Non-Union

COMPENSATION: $21.78-$22.00 per hour


POSITION OVERVIEW:

The Intake Coordinator will work with the ACCESS team to coordinate referral intakes. Participants seeking out mental health services call or walk into the Adult Behavioral Health facility of La Familia where the receptionist take down their request for services. The Intake Coordinator has the responsibility to make timely calls to the referrals participants and screen them for program eligibility and providing them resources if needed. The Intake Coordinator updates the Sales Force system about the referrals call back results. The majority of the contact will be over the phone. Occasionally, some participants walk in seeking services and they will be assisted by front desk receptionist, if they should need an additional brief meeting to check in because they are distressed, then the Intake Coordinator if available may be called to assist or else the Officer of the Day may assist the referral participant.


Essential Job Functions and Responsibilities:

Intake Coordinator:

  • Screens all Requests for Service (RFS) and responds to requests within 24 hours, prioritizing any direct referrals from ACCESS and internal referrals.
  • Conducts in-person and/or phone screenings for all new RFS.
  • Provides referrals as appropriate.
  • Mails out Notice of Adverse Beneficiary Determination (NOABD) Letters to referrals who will remain on our “call back” list.
  • Be available for walk-in intakes as necessary whom require additional support.
  • Enters all data related to RFS into Salesforce and on the intake Google Sheet.


  • Collaborates with Program Manager to make recommendations of the referral needs and Program Manager will assign case/s to ACCESS (staff and trainees) and verifies if needed Medi-Cal eligibility with Admin.
  • Checks-in with staff regularly regarding openings in order to assign high priority intakes.
  • Frequently monitors the status of RFS/Intakes and follow-ups with older RFS/Intakes to reassess and refer out as appropriate.
  • Serves as back up for checking program phone voicemail when Program Manager and Director are out of the office.
  • Serve as Officer of the Day shift as need to assist walk in clients.

QUALIFICATIONS & EXPERIENCE:

  • Graduate degree in social work, psychology or related field, and licensure with the California Board of Behavioral Sciences or Board of Psychology (i.e., Psychologist, LCSW, LMFT, and LPCC). License must have been active for at least two years or be in a graduate program (second year).
  • Bilingual Spanish/English required.
  • Knowledge of principles and practices of modern clinical psychology, including abnormal psychology, personality theory, diagnostic interviewing. Psychotherapy including brief therapy and behavior change, casework, systems theory, family therapy, community psychology and community mental health.
  • Ability to establish and maintain effective working relationships with clients and staff of all levels.
  • Ability to determine the needs of individual situations regarding diagnostic and therapeutic techniques, taking an effective course of action, and follow through with effective treatment plans.
  • Non-Profit and Community Based Organization experience highly desirable.
  • Demonstrates and models excellent “customer service” orientation, especially in the ability to interact with people at all levels within and outside the agency.

  • Exercises extreme discretion with the ability to hold, balance and transmit public and confidential information needed by various parties.
  • Proficient using MS Office products, particularly Word, Excel, Outlook and PowerPoint.
  • Acquires or maintains proficiency in using Google Drive products, including Docs, Sheets, and Forms.
  • Valid CA Driver’s license
    • Auto insurance: Personal vehicle may be used for business related purposes; it is recommended you inform your auto insurance carrier.

  • Performs other duties as necessary
