Position: Human Resources Coordinator
Department: Human Resources
Reports To: Director of Human Resources
FLSA: Non -Exempt

Position Summary
The Human Resources Coordinator is responsible for coordinating multiple Human Resources initiatives and tasks, including setting up interviews with internal and external candidates, collecting new hire pre-employment paperwork, and data entry into the HRIS system: ADP Workforce Now. This incumbent will also be responsible for ordering HR office supplies, bereavement gifts and disbursing rewards and recognition gifts for all staff. Conduct an annual employee file audit, ADP electronic records and all HR forms. Responsibilities include the coordination of a high volume of work including working with confidential and time sensitive information. Assist in coordinating employee engagement events and special projects as required.

Duties and Responsibilities
  • Set-up new hires in ADP.
  • Maintain I-9 binder and audit annually.
  • Assist in coordinating interviews with Human Resources and/or hiring manager.
  • Coordinate Conversations w/Lynn onboarding event.
  • Maintain Human Resources activities and compliance calendar.
  • Responsible for all communications associated with New Employee Orientation and ensure all new hires attend.
  • Run reports from ADP and LMS as needed by Human Resources and/or benefit vendors.
  • Maintain employee files and talent records via ADP.
  • Maintain training and development records for internal and external trainings via Relias or Learning Management System (LMS).
  • Maintain HR special announcements and birthday list on ADP portal page.
  • Conduct annual Human Resources file audits.
  • Assist HR staff in the development and execution of employee engagement activities.
  • Other special projects and duties as assigned. This position will occasionally assist the Chief Human Resources and Compliance Officer in special projects.

Physical Demands
  • Must be able to remain in a stationary position 50% of the time.
  • Must be able to move around the clinics or sites 50% of the time.
  • Constantly operates a computer, computer printer, copy machine, and telephone.
  • Occasionally positions self to maintain exertion of physical strength to move objects of 10 pounds from one level to another.
  • Must be able to transport from one site to another.

Required Experience
  • Associates or bachelor’s degree in Human Resources Management or related field preferred.
  • One to three years of experience as Human Resources Clerk, Administrative Assistant or Coordinator, preferably in a healthcare environment.
  • Advanced knowledge of MS Office, Outlook, Word, Excel, and PowerPoint.
  • One to three years of experience with ADP Workforce Now or another similar HRIS/Payroll platform.
