Position Title: Human Resources Coordinator
Classification: Staff – Full Time, Non-Exempt
Reports to: Human Resources Manager
Location: Remote, with the ability to travel to campuses and other locations

Position Summary

Under the supervision of the Human Resources Manager, the Human Resources (HR) Coordinator supports employee life cycle processes from on-boarding to off-boarding with a focus on employee data management. Maintaining confidentiality, the HR Coordinator enters data, monitors and audits biweekly and monthly pay cycles, processes new hire paperwork, and maintains files, records and documentation.

The HR Coordinator is an integral member of the Human Resources Team and has a commitment to diversity, equity and inclusion in working and collaborating with the Antioch community, and supports a welcoming, respectful and inclusive work environment.

This is a temporary appointment with possibilities of renewal.

Essential Duties and Responsibilities:

Employee Data Management 60%
  • Monitor and audit bi-weekly and monthly pay cycles in collaboration with Payroll
  • Ensure pay form procedures are followed, including approvals
  • Enter pay information into the system timely and update employee records
  • Enter and track personnel changes in Colleague and perform necessary audits
  • Create and track pay spreadsheets
  • Create and email contracts and track returned signed contracts
  • Research and resolve employee data issues and discrepancies as needed
  • Notify academic and administrative departments of pay requests deadlines
  • Send bi-weekly time entry and approval reminders to employees and supervisors/chairs
On-boarding & O ff-boarding 25%
  • Distribute and process new hire paperwork, including setting up new faculty and staff in Colleague and coordinating benefits transactions with the Benefits Manager
  • Provide general benefits information and identify resources for employees
  • Notify employees, their supervisors and other department coordinators of their AUID and email address
  • Request faculty transcripts, update Faculty Qualifications spreadsheet, and update institutional information in Colleague
  • Process Student Worker Agreements and notify supervisors when the student’s employee profile is set up and ready for time entry; communicate with Financial Aid as needed
  • Process terminations in Colleague, including informing the Benefits Manager for benefits cancellation and notifying IT for system access termination, as applicable
Reporting and Recordkeeping 10%
  • Organize and maintain employee files, records, and documentation
  • Respond to employment verifications and keep records
Performs other duties as assigned 5%

Minimum Requirements:
  • Bachelor's degree and two years of progressive experience in Human Resources, or an equivalent combination of education and experience
  • A working knowledge of California Employment Law and its application
  • Knowledge of federal, state and local law/regulations, and Human Resources principles and best practices
  • Working knowledge and/or experience with payroll
  • Proficient in Google and Microsoft Suites
  • Experience with Human Resources Information System (HRIS), and willing to learn and utilize new software
  • Strong verbal and written communication skills
  • Detail oriented, proactive, resourceful, and self-starter
  • Excellent organizational and time management skills, including managing competing priorities and demands in constantly changing environment
  • Human Resources Certification a plus

  • No supervisory responsibilities
Hours of Employment:
This is a full-time position serving a national university. A work schedule will be established in consultation with the supervisor. Some overtime hours may be required during peak times.
