JOB TITLE: Human Resources Assistant

REPORTS TO: Director of Human Resources

COMPENSATION: $40,000 to $50,000 in annual salary; commensurate with experience

POSITION PROFILE: The Suffolk County District Attorney’s Office (SCDAO) seeks a motivated, organized, and detail-oriented individual dedicated to public service, committed to justice and fairness, and interested in criminal justice reform to provide administrative support to the Human Resources Department, and assist in providing Human Resources related support to the staff throughout SCDAO.

Per SCDAO’s vaccine mandate, as a condition of employment, successful applicants will be required to have received COVID-19 vaccination or an approved exemption as of their start date. Details on demonstrating compliance with this requirement will be provided to applicants selected for employment.

ESSENTIAL FUNCTIONS:

  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, and triages and refers more complex questions to appropriate senior level staff or management

  • Assists in completing commonly used forms, e.g., employment verifications, bar registration reimbursement requests, loan forgiveness requests.

  • Assists in the recruitment process, including managing applicant flow, scheduling interviews, drafting correspondence to applicants, and assisting with new employee orientations.

  • Enters employee information into human resource information system (HRIS) programs; runs reports to generate human resource related data; maintains spreadsheets and databases.

  • Maintains and periodically audits personnel files and other human resource records in accordance with federal and state laws and SCDAO policies, ensuring that the information contained in such files and records is current and kept confidential to the extent required by law.

  • Acts as a liaison between SCDAO and external benefits providers and vendors, including but not limited to health, disability, and retirement plan providers.

  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, and holiday parties.

  • Professionally and courteously greets and assists office visitors, guests, applicants and employees.

  • Assists with scheduling and/or coordination of meetings.

  • Handles incoming and outgoing mail.

  • Performs clerical functions to assist the Department, e.g., copying, filing, etc.

  • Ensures that office supplies are adequate and that all equipment is in proper working order.

  • Ability to interact appropriately, effectively and discreetly with employees and the general public.

  • Performs other duties as assigned


OTHER DUTIES:

  • Attend required training and other trainings relevant to Office functions.

  • Become familiar with and follow the provisions of the Office Personnel Policies, particularly with regard to confidentiality, sexual harassment, drug-free workplace, and the usage of information technology resources.

  • Exercise respectful and professional behavior and communication with the public, judicial, and law enforcement personnel and office staff.

  • Complete work assignments in a timely, accurate, and efficient manner.

  • Perform other duties as assigned.


PHYSICAL DEMANDS: Ability to sit and stand for extended periods of time and lift up to 20lbs.

TRAVEL: Minimal travel will be required.

Qualifications


EDUCATION AND EXPERIENCE:

Required:

  • Proficient in or able to quickly learn payroll management, human resource information systems (HRIS), and similar computer applications;

  • Strong written and verbal communication skills.

  • Knowledge of and ability to use basic mathematical calculations.

  • Excellent organizational skills with strong attention to detail.

  • Ability to assess and address issues in a timely fashion.

  • Ability to multi-task and prioritize responsibilities in a fast-paced environment.

  • Ability to work independently and be part of a team.

  • Strong computer skills; must be proficient with Microsoft Office Suite.

  • Strong interpersonal skills.

  • Strong personal character and ability to handle and maintain sensitive and confidential information.

  • Ability to establish and maintain effective working relationships with others.

  • Ability to work well in a high pressure environment with multiple deadlines while maintaining a high level of quality.

  • Enthusiasm about learning new processes and procedures.

Preferred:

  • Bachelor’s degree or Associate’s degree in a related field with one to two years of experience, preferably in an office that deals with the public, or any equivalent combination of training and experience.

  • Fluency or Conversational Abilities in Spanish, Haitian Creole, Cantonese or Mandarin, Chinese, Portuguese, or Cape Verdean Creole.

  • Experience working in a professional office environment.

  • Working knowledge of the criminal justice system and interest in public service.

  • Knowledge of modern records management techniques; knowledge of personnel related policies and procedures.
