Job description
Perform Administrative, clerical and secretarial duties including answering the phone, serving as the department receptionist, typing, faxing, etc.

Collect and disseminate the department?s mail on a daily basis. Take messages (phone, in person, etc.) and communicate in a timely manner.

Order all office supplies and keep adequate inventory for department use. Keep the supply room neat and organized for efficient use. Maintain adequate inventory of break room supplies and keep neat and organized.

Assist Administration staff with various clerical assistance including faxing, copies, phone messages, typing memos, etc.

Others duties as assigned.

Consults with the CEO on Medical Staff matters where clarification, interpretation, or exception to system policy may be required.

Ability to work independently and process work within assigned time frame, and administrative department?s policies and procedure referring unusual problems or concerns to the administrative staff.

Maintaining physician Credentialing files and holds such information in the strictest of confidence.

Schedule meetings required by C-Suite including but not limited to managers meeting, C-Suite meetings, etc.

Collects and organizes all minutes and reports of manager meetings.

Recognizes priorities and adjusts schedule accordingly.

Willingly supports mission, vision and values of the system.

Be responsible for the Annual education needs, with credentialing department on appointment / reappointment process and maintenance of physician files & hospital authority members. Paper and on-line.

Responsible for coordination of meetings on the Medical and BACHA.

Serves as recorder for Medical Staff and Board Meetings and stores all meeting, minutes, recording, accordingly.

Participates in continuing education programs to enhance on professional growth and development maintaining updated knowledge of trends and practices regarding department.

The facility provides, and employee participates in education and training to improve their knowledge and skills related to the patient population served and the type and nature of care provided by their respective department.

Coordinates and plans any special events for groups, retreats, education trips, Christmas parties, etc.

Insures that both groups are aware of education requirements help them through the process. Update CEO on deadlines and who has participated and who hasn?t.

Assist in the management of the medical staff support function for the entity Medical Staff Organization as outlined in the entity Medical Staff Bylaws.

Coordinates receipt of credentialing and privileging applications following processes.

Schedules, coordinates, prepares agenda, takes minutes, provides follow up for Medical Staff committees outlined by the Bylaws.

Generates queries and reports from credentialing and privileging database.

Assists with clinical privilege development and maintenance of the entity privilege database.

Prepares summary reports of credentialing/privileging recommendations and ensures flow of information and action items for medical staff committees outlined in the entity Medical Staff Bylaws.

Assists in coordination, tracking and monitoring of the OPPE and FPPE process ensuring compliance with regulatory standards and Medical Staff Affairs polices.

Schedules, coordinates, prepares agenda, takes minutes, provides follow up for Hospital Board Authority meetings.

Maintain confidentiality at all time in accordance with Protected Health Information (PHI)
