Victor Insurance Managers is currently seeking an Executive Assistant to support its Global CEO located in Bethesda, Maryland.

In this critical role, you will provide executive support to the CEO and other senior leaders. The CEO is responsible for Victor's global Managing General Agency businesses {Victor Insurance Managers (also including Victor Small Business, Victor Canada, and Victor International) ICAT and Torrent}.

We will count on you to:

  • Deliver effective, proactive calendar management – organize, adjust and communicate short- and long-term schedule requirements
  • Meeting and event planning, scheduling and coordination of logistics. Support leader with meeting logistics, agenda setting and prioritization of issues. Work with various departments or leaders on team on offsites.
  • Work with senior level employees and their EAs to arrange and plan meetings as needed.
  • Manage travel planning, booking and ongoing updates
  • Process and/or coordinate completion of expense reports in a timely manner.
  • Remain compliant with internal standards and policies when dealing with sensitive information by always maintaining confidentiality of sensitive information. Exercise discretion.
  • Available to produce weekly, monthly and ad hoc reports and dashboards, including analysis and recommendations.
  • Maintain regular contact with other administrative staff to stay well-informed of priorities, avoid duplication and ensure efficiencies.
  • Support business in planning community colleague volunteer events by researching, planning, coordinating, and managing event logistics.
  • Understand general business model, key business partners and the objectives of meetings & events.
  • Resolve administrative problems by analyzing information and identifying and communicating solutions.
  • Provide peer review of documents before distribution to ensure quality of final product.
  • Handle higher level internal and external inquiries to support high level of customer satisfaction and communication.
  • Undertake more complex administrative duties with specific projects as required.
  • Provide training and assistance to other administrative staff in the department to facilitate employee development, as needed.

What you need to have:

  • Minimum of 5 years of executive assistant experience
  • Excellent organizational and time management skills, track record of consistently meeting deadlines
  • Advanced Microsoft Office skills: highly proficient in Excel and PowerPoint with a willingness to learn new software tools
  • Excellent interpersonal and communication skills.
  • Driven, resourceful and good working attitude
  • Team player, able to work well with multiple stakeholders and build rapport in a fast-paced environment
  • High level of integrity, independent and committed with high level of initiative
  • Forward planning, understand prioritization, diligent execution
  • Strong business acumen
