Job Purpose:
Responsible for supporting the CEO, Vice President of HR, and Board of Directors through composing and distributing meeting minutes, independently handling routine correspondence and problems, scheduling appointments, making travel arrangements for meetings or other events, and independent problem-solving

Goals and Objectives:
  • Enhance executives’ and Board of Directors’ effectiveness by providing information and advanced level administrative support
  • Act as point of contact between Executive team members and internal/external customers
  • As an extension of the AllHealth Network Leadership Team, represent the agency to the community in a professional manner.

Duties and Responsibilities:

  • Provide administrative support for the CEO and OP Medical Director, including but not limited to scheduling appointments, managing routine correspondence, generating presentations, filing, screening phone calls, and compiling other documents
  • Act as Liaison and provide support to the Board of Directors, including attendance and recording minutes at Board meetings and committee meetings, Board retreats, and other Board functions
  • Prepare minutes for all required meetings, coordinate speakers, organize agendas and prepare support material for the Board of Directors. Support the Board in any edits or updates to the Board Manual, or other policy and administrative documents for use by the Board
  • Provide support services to other Directors as assigned by the CEO
  • Facilitate processing of contracts as requested by CEO, including internal distribution, review coordination, and communication with external entities.
  • Provide project management services to the CEO, OP Medical Director and Board of Directors upon request
  • Provide support/liaison services to the CEO for work performed with affiliated agencies and other corporations, e.g., CBHC, OBH, HCPF, BHI, COA, etc.
  • Convey a positive professional image for the office of the CEO and AllHealth Network
  • Coordinate, initiate and implement relevant activities associated with contractual and/or affiliation service agreements, license renewal applications, corporate by-laws and articles of incorporation
  • Conduct thorough research and draft documents as requested
  • Understand and follow all laws and practices related to client confidentiality
  • Complete all required paperwork accurately, legibly, and within established timelines
  • Coordinate meetings at the direction of the supervisor, to include preparing meeting materials, PowerPoint presentations, ordering and setting up food/coffee, etc.
  • Respond to incoming calls and voicemails within 24 hours. Direct the call appropriately or provide information within scope of responsibility in a customer-friendly manner
  • Follow all AllHealth Network policies and procedures
  • Complete all required trainings as listed in Relias Learning (both online training and face-to-face training) within required timelines
  • Perform other duties as required within the scope of the position and the experience, education and ability of the employee.
Key Technical Skills and Knowledge:
  • Associates degree required. Bachelor’s degree preferred
  • Active Notary Public preferred
  • Minimum of seven years of administrative/office support experience in progressively more responsible positions
  • Minimum of 5 years of experience providing executive administrative support. Healthcare or nonprofit experience preferred
  • Excellent computer skills including advanced proficiency in MS Office (Excel, Word, PowerPoint, Lync, Visio) and set-up of audio-visual and teleconference equipment. Typing speed at least 70 wpm. Exceptional organizational skills required
  • Ability to work in a fast-paced environment with competing priorities, and to proactively anticipate needs of Executives
  • Strong verbal and written communication skills required, along with excellent customer service
  • Ability to work independently with a high degree of accuracy and minimal supervision.
  • Requires occasional weekends, off-hours or evening hours

Salary: $74,000 - $80,000 annually
