PURPOSE OF POSITION:

The primary purpose of the Executive Assistant is to provide key administrative support to the College President, executives, and leadership team of deans/directors. The Executive Assistant will accomplish this goal by balancing multiple assignments and maintaining priorities in a fast paced and ever-changing environment. The Executive Assistant must provide professional, efficient, quality service (to a wide variety of constituents) at all times while maintaining the highest level of confidentiality.


RESPONSIBILITIES & EXPECTATIONS:

  • Demonstrates and promotes the values of Aultman College, while working effectively with varied personalities and workstyles.
  • Maintains an awareness of administrative activities, operations, and policies so as to accurately respond to inquiries.
  • Creates documents and presentations ensuring proper spelling, grammar, and formatting.
  • Drafts, reviews, and send communication on behalf of the President and other executives.
  • Maintains and coordinates calendars of President and other executives.
  • Coordinates college travel arrangements for college leadership when needed.
  • Monitors and maintains external college email accounts.
  • Establishes, maintains, and revises record keeping and filing systems (physical and digital). Classifies, sorts, and files records, correspondence, and other documents in an organized manner that permits easy retrieval.
  • Plays an active role in human resource related processes including but not limited to hiring, onboarding, contracting, and related paperwork.
  • Serves as the Board of Directors liaison in communication, meeting coordination, minute taking, and related activities as directed.
  • Arranges meetings, conferences, luncheons, and appointments and performs other duties

related to administrative support.

  • Organizes and executes events related to college leadership/strategy activities (e.g., hosting external partnerships/tours and campus visits)
  • Continuously reviews, recommends, and implements improvement steps (challenging the status quo), as needed or directed.
  • Seeks supervisory guidance/approval as appropriate.
  • Practices ethical conduct and maintains the highest standards of confidentiality.
  • Meets acceptable attendance and punctuality expectations (excluding FMLA).
  • Maintains professional appearance and demeanor, representing the college leadership team, executives, and President in multiple and varied settings.

QUALIFICATIONS:

  • Education: Associate or Bachelor’s Degree preferred.
  • Experience: Minimum of three years of administrative and/or customer service experience.
  • Maintain confidentiality and establish trust.
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
  • Exceptional verbal and written communication skills
  • Organized, efficient and able to multi-task.
  • Ability to prioritize and to meet deadlines.
  • Solid independent judgment and self-motivation.
  • Editing and proofreading skills.
  • Ability to cope with mental and emotional stress of the position.
  • Flexible, dependable and of highest integrity.
  • Excellent attendance and punctuality.

WORKING CONDITIONS:

  • Office environment with moderate noise level.
  • Frequent sitting, use of hands/fingers across keyboard or mouse, and long periods working at a computer.
  • Occasionally walking, standing, twisting/turning and reaching upward or forward during workday.
  • Works in well lighted, ventilated areas.
  • Subject to frequent interruptions and changes in priority of duties throughout the day.
  • May be required to use personal vehicle for tasks outside the organization, mileage will be reimbursed.
  • Position is 40 hours per week depending on need (including partial remote work option), full benefit package available.
