Kroll Business Services provides technology-enabled business solutions supporting claims administration in the restructuring and class action spaces, corporate actions, liability management, loan administration and debt markets. The Executive Assistant will provide ongoing support for the KBS President and Chief Operating Offer, both based in the New York City area. Successful candidates will demonstrate the core values of Kroll and exercise independent judgement in the resolution of administrative problems. This role will go beyond strict administrative support, acting also as a project manager to ensure deliverables meet their necessary deadlines. The ability to manage change and seek out additional responsibilities is vital to the success of this position.

RESPONSIBILITIES:

  • Overseeing administrative support in a fast-paced environment:
    • Organizing and scheduling internal meetings and events with multiple attendees
    • Coordinating point-to-point travel needs as necessary including booking all travel and hotels, directions, commuting time and ground transportation
    • Processing expenses on a timely basis
    • Coordinating scheduling with other Executive Assistants across Kroll - facilitate the scheduling process and relevant communications with friendly professionalism and high attention to detail
  • Help ensure the President and COO are properly prepared for all meetings
  • Attend meetings with the President and COO and write comprehensive meeting minutes, tracking action items
  • Project management, including the tracking of outstanding items and follow-up from meetings to ensure projects move along as required
  • Run, update, and maintain necessary financial reports and trackers for the business, creating presentations as required. Light math in Excel will be needed.
  • Plan local dinners and team events locally and abroad in collaboration with Managing Directors across Kroll Business Services
  • May act as a coach to other assistants within Kroll Business Services
  • Performing other duties as assigned or required; responsibilities will vary, especially as the business grows and evolves

REQUIREMENTS:

For such a pivotal position, you will have significant experience in a similar role supporting senior executives in a multinational organization. You are proactive and demonstrate strong strategic thinking, planning, and organizational skills. The ability to think outside the box and take extra measures on your own initiative to promote the success of the company is crucial You will be able to build and maintain relationships and work cross-functionally, and are reliable, trustworthy, and capable of handling, managing, and protecting sensitive and confidential information.

  • Minimum of 5-8 years of previous experience in an administrative assistant role; 3 years of Executive Assistant experience required
  • Fast thinking, proactive and confident working unsupervised and using your own initiative
  • Strong communication (both written and verbal) and calendar management skills
  • Advanced knowledge and proficiency in Outlook, PowerPoint, Excel and Word; Visio experience preferred
  • Excellent attention to detail
  • Interpersonal skills are essential to adapt in a rapidly changing environment
  • Must demonstrate the ability to work effectively with Senior Management and colleagues at all levels of a company
  • Excellent organizational and time management skills; ability to organize and prioritize multiple and moderately complex tasks in a deadline-driven environment
  • Ability to accept direction and additional responsibilities as required

The current salary range for this position is $28.00-$50.00 hourly.
