Responsibilities:

► Coordinate all aspects, including marketing, of internal and external catering and event planning. This includes outside customers who choose to rent the defined conference facilities and chapel and internal customers including departments, mission units committees, related ministries, etc.

►Negotiate with customers desired services, including food, room and equipment needed for their event, as well as the customer’s needs prior to, during and following the event.

►Collaborate with appropriate SSIHM staff to meet all customers’ needs.

►Develop and maintain forms, brochures and procedures for all events,

►Maintain a master calendar, electronic and hard copy, for all commonly used areas.

►Coordinate all necessary details to ensure that the scheduled event(s) run smoothly, including but not limited to, assisting customers through all processes for their event, i.e., contract signing, menu selection and room set up, acceptance of deposits and payments, final invoice preparation, final payment collection and coordination of all information to departments to ensure all aspects are implemented and that a high quality of service is provided.

► Meet the customer(s) prior to, and during the event to ensure all is going well and in accordance with the customer’s contract. Follow-up with the customer(s) after the event for evaluation of services.

►Prepare and maintain all customer files including all records of past and current events.

►Maintain excellent working relationship with all customers, departments and residents remaining sensitive to the Resident Community needs.

► Work a flexible schedule, including evenings and/or weekends.

► Drive as needed.

Qualifications:

► Associate Degree required, Bachelor Degree preferred.

► Previous experience in sales and event coordination.

►Ability to learn, understand and support the IHM mission and values.

►Excellent interpersonal, oral and written communication skills.

►Ability to calculate figures, work collaboratively, rearrange priorities, be self directed in organizing areas of responsibility, function independently with flexibility and personal integrity making independent decisions when circumstances warrant such action.

Job Type: Full-time

Pay: $40,000.00 - $55,000.00 per year

  • Events management: 3 years (Preferred)
