The job of Events Facilitator was established for the purpose/s of providing event planning and event services for customers using the Morton Facility.

ESSENTIAL FUNCTIONS

  • Assist clients with limited technical support in accessing the wireless system, operating projectors and other presentation equipment, and troubleshooting any problems at the facility for the purpose of providing client and attendee support.
  • Communicate with customers and IU staff for the purpose of determining objectives and requirements for events such as meetings, conferences, and conventions. • Coordinate activities related to various events (e.g. meeting room schedules; conference center schedule with maintenance and security guard scheduling; room set up - furniture, audio-visual equipment, instruction postings for guest web access; requests for rooms and services) for the purpose of maximizing the use of the DCIU facility and ensuring event success.
  • Coordinate related services for events (e.g. negotiating corporate rates for, as well as, arranging accommodations and transportation for out-of-town speakers; ordering and creating internal directional and room designation signage; arranging for special needs requirements) for the purpose of supporting clients and/or DCIU in event preparation and execution.
  • Create reports for IU management for the purpose of providing information on facility usage, event statistics, and general program information.
  • Maintain meeting management systems (e.g. core application, on-site signage, and electronic communications - e-mail notifications) for the purpose of ensuring proper communication of up-to-date, accurate information for end-users. • Manage conference center supplies for the purpose of assuring rooms are properly maintained and operating within budget.
  • Perform maintenance and record-keeping maintenance of all AV equipment in rooms and weekly checks of all meeting room technology and related equipment for the purpose of making sure that all equipment is functioning and accessible for events. • Prepare contracts and invoices for paying clients' room usage for the purpose of ensuring accurate and timely billing for event expenses.
  • Update and maintain (e.g. web-based master schedule for all rooms in Meeting Room Manager; provision of accurate daily list of events and their locations to the receptionist) for the purpose of providing accurate information for clients and attendees of the DCIU facility.
  • Perform other related duties as assigned (e.g. on-call provision of knowledgeable assistance to clients; pre-event inspection to ensure that the facility conforms to customer requirements; This may not be a complete itemization of all facets of this position.

Job Type: Full-time

Pay: From $32,174.00 per year
