JOB TITLE: Early Childhood Dance Program Manager, Special Event Coordinator, and Front Desk Staff. (Multi-Title Position)

JOB LOCATION: Oak Park, IL

EMPLOYMENT TYPE: Full-time (32-40 hours a week) beginning immediately with a period of paid, on-the-job training.

COMPENSATION: Starting pay is $20 an hour for administrative work. Alternative competitive pay rate offered for teaching hours.

REPORTING: This position works alongside the Primary Admin at the front desk and reports to the Director. Coordination with Class Instructors and Office Manager occurs daily.

EMPLOYMENT SUMMARY: Dance studio in Oak Park is looking to fill a full-time, multi-title position which includes responsibilities of Early Childhood Program Manager, Special Event Coordinator, and Front Desk Staff.

A typical Friday for this position begins at 2:00pm with office work before customers arrive. This might include detailing lesson plans for early childhood dance classes, responding to customer or internal emails, returning phone calls regarding birthday parties, preparing materials for special events, or brainstorming new fun and out-of-the-box methods for creating unique customer experiences. Customers arrive for classes between 3:30pm and 8:30pm. This time is spent greeting students, assisting with customer service needs, teaching dance classes for ages 2-5, leading birthday parties, hosting event rentals, executing any special customer experience initiatives, and providing any needed support to other instructors. Friday evening may finish with supervising a Parents’ Night Out childcare event around 9:30pm when all students are picked up and the facilities are closed for the end of the night.

Upon hiring, we will provide training in our programming for ages 2 through 9 to adequately prepare the applicant for teaching and future curriculum design.

CORE RESPONSIBILITIES:

1. Early Childhood Program management

  • Dance curriculum design for ages 2-9
  • Theme weeks and special events
  • Communications to parents
  • Internal communication and training of staff
  • Lead PreCombo dance class instructor for ages 2-5

2. Birthday Party Program management

  • Receiving and processing applications
  • Serving as point of contact for applicants before, during, and after parties
  • Inventory, ordering, and organization of supplies
  • Working with Assistant Program Manager to staff parties
  • Leading parties
  • Preparing and distributing promotional materials to attendees
  • Ensuring parties meet objectives for customers and studio

3. Special event coordination

  • Planning details (schedules, locations, budgets, marketing plans, etc.)
  • Staffing (work with staffing manager to ensure events covered)
  • Leading special events
  • Recital
  • In-studio events
  • Community events
  • Assisting with supervision of Team events (work with Team Program Director)
  • Girl Scout events

4. Camp Program Manager

  • Curriculum design
  • Supply ordering
  • Scheduled email communications
  • Coordinate with Office Manager on staffing

5. Customer experience design

  • Brag Board
  • Customer Appreciation Weeks
  • Student of the Month
  • Assistant of the Month
  • Team awards
  • Birthday recognitions (staff & student)

6. Front desk & admin support

  • Lobby presentation
  • Secondary lobby supervision
  • Secondary customer service
  • Recommendation Form completion
  • Team invitation completion
  • Additional administrative support as needed
  • Main substitute for Primary Admin (W-Su)

SHIFT SUMMARY:

This position includes shifts that may fluctuate seasonally (see below), but will remain at a full-time status (32-40 hours per week). Hired employee will work 5 days a week and may be scheduled on a varying combination of weekday and weekend days. The weekly shift schedule will remain the same for the school year session (Aug-June) and then change for the summer session schedule (June-Aug).

A sample school year schedule might be:

  • Monday 2:00-9:30 p.m.
  • Tuesday 2:00-9:30 p.m.
  • Wednesday - off
  • Thursday 2:00-9:30 p.m.
  • Friday 2:00-9:30 p.m. (flexible ending time per events)
  • Saturday 9:00am-3:30pm
  • Sunday - off

A sample summer schedule might be:

  • Monday-Friday 8:30am-3:30pm (Summer Camps)

QUALIFICATIONS:

  • Background in Early Childhood Education required
  • Background in dance required
  • Knowledge of emotional and physical developmental abilities for ages 2-9 required
  • Applicants must submit to and pass a background check for working with children.
  • High school diploma or equivalent required; some college a plus
  • Prior receptionist, administrative, customer service, or event coordination experience preferred but not required
  • Reliable mode of transportation enabling dependable timeliness required

  • A love for children ages 2-9
  • Delight and creativity in interacting with parents and children
  • Desire to teach introductory level dance when called upon (training provided)
  • Comfortable working in a fast-paced environment required for events
  • Strong attention to written and numeric detail required for event coordination
  • Enjoyment of administrative duties
  • Ability to design and communicate lesson plans to instructors
  • Willingness to partake in light housekeeping duties (we have a separate custodial crew overnight)
