General Information
The University Events office coordinates events and functions for the Office of the President, Grand Openings, and special events. They collaborate with University Advancement on building dedications and other major university events. In addition, the office coordinates the university’s college commencement ceremonies and the December commencement ceremony. This office executes 75 events on average yearly and serves as a resource to other university departments in the design of other university events.

Duties and Responsibilities
Responsibilities:
  • Manage and oversee activities and staff of the University Events department, focusing on strategic planning and development and execution of new and existing university events associated with the Office of the President, the Advancement division and other JMU departments, including major and highly visible events such as the Madison Vision series, grand opening, receptions, celebrations, and building dedications.
  • Direct and oversee overall event and program conceptualization and planning, budget development and management, and execution of all logistical requirements and ensure other staff and university partners adhere to the high standards set by protocols of each event.
  • Coordinate and collaborate in the planning and implementation of the university’s college ceremonies and the December commencement to promote a memorable event for 4,500+ graduates yearly. Document, facilitate, coordinate and maintain positive relationships with key staff to support meaningful and memorable commencement ceremonies.
  • Provide effective leadership, management and organization of event details such as guest lists, menus, invitations, decorations, facility operations, etc. and promotes the department as a resource to the campus community to provide expertise and recommendations in planning and implementing successful events.
  • Collaborates with the First Lady and Special Events staff to ensure events hosted at the Presidential home meet their expectations.
  • Design and implement events that support the institution’s goals and initiatives such as Grad Fair, Grad Week, environmental stewardship principles, etc.
  • Manage an effective internship program to support the office functions and responsibilities; collaborate with respective academic departments to support opportunities for students.
  • Support other divisional and university programs as appropriate and represent the division and vice president as needed.
  • Conduct evaluation and assessment on events/programs.

Qualifications
Required:
  • Demonstrated knowledge of public relations and communications principles, etiquette and protocol (personal, professional and social).
  • Extensive knowledge and experience in high profile event planning and implementation.
  • Skilled in using excel, word, invitation software and graphic design.
  • Demonstrated leadership experience in team-building and managing staff and ability to plan and execute multiple events simultaneously.
  • Supervisory experience and oversight of professional and non-professional staff.
  • Experience managing fiscal operations and budget management.
  • Excellent oral and written communication skills.
  • Bachelor’s degree


Preferred:
  • Master’s degree in related field.

The Annual Security and Fire Safety Report contains information regarding campus security and personal safety including topics such as: crime prevention, the university police law enforcement authority, crime reporting policies, disciplinary procedures, protocols for the immediate notification of students and staff upon confirmation of a significant emergency on campus and other matters of importance related to security and safety. The report includes statistics for the most recent three-year period of reported crimes that have occurred on campus; in certain off-campus buildings or property owned or controlled by JMU or its affiliates; and on public property within or immediately adjacent to and accessible from the campus.

The Annual Security and Fire Safety Report includes campus housing fire statistics for the most recent three-year period, a description of each on-campus student housing facility fire safety system, the number of fire drills held during the previous calendar year, policies or rules on portable electrical appliances, smoking, and open flames in student housing; and procedures for student housing evacuation in the event of fire along with other fire safety information.
