Position Overview

This position assists the learning & development portfolio in administrative tasks such as support of content roll out/trainings, supporting system administration, support of performance management program, research/information gathering, and other initiatives. This position may perform additional ad-hoc admin duties as needed for the People & Culture (P&C) team. This position reports and operates at the direction of the Senior Manager, People Analytics, People & Culture.

This position is based in Washington, DC (hybrid schedule).

Essential Functions

  • Support system administration as it relates to the performance management platform within the HRIS (i.e., distribution of reviews, template updates, auditing, etc.)
  • Support system administration as it relates to the learning management system (LMS), including external partners portal (i.e., auditing, template uploads, etc.)
  • Run reports as needed and directed within multiple platforms; format and/or synthesize data as needed
  • Assist in reviewing, tracking, and documenting compliance with mandatory and non-mandatory training, continuing education, and work assessments
  • Assist in the scheduling and logistics of training and development sessions for UNF employees, including in-person and/or virtual convenings (i.e., compliance trainings, professional development, brown bags, etc.)
  • Assist in the creation and preparation of materials for training/performance management initiatives
  • Conduct research on an as needed basis at the direction of the Senior Manager
  • File employee documentation in the appropriate folders/systems.
  • Serve as administrative backup for P&C coverage when needed
  • Maintain working knowledge of the UNF agreement process (for both contracts and grants), and when to utilize the proper templates accordingly. (As applicable to the role)
  • Draft and review agreements and maintain an understanding of all agreement terms and applicable flow-downs, consulting with UNF’s finance/contracts team as needed. (As applicable to the role)
  • Attend training sessions provided by UNF’s contracts team to maintain and keep up to date with UNF’s current policies and procedures. (As applicable to the role)
  • Maintain a strong knowledge of UNF’s Salesforce database to be able to process and track agreements, extract information, and prepare reports. (As applicable to the role)
  • Other duties as assigned.

Selection Criteria

  • Bachelor’s degree required.
  • At least 1 year of experience in an administrative support role with non-profit experience preferred
  • Interest, knowledge, or work experience in Human Resources field preferred
  • Experience with Microsoft Outlook, Word, PowerPoint, and Excel; advanced Excel skills and CRM knowledge preferred
  • Ability to maintain high degree of confidentiality
  • Strong attention to detail and demonstrated excellence working in a fast-paced environment
  • Ability to multi-task and juggle multiple projects at once
  • Strong professional interpersonal skills and diplomacy
  • Ability to work independently as well as member of a team
  • Dependable and consistent
  • Excellent verbal and written communication skills
  • Ability to work under pressure and handle stress
  • Ability to meet regular attendance/tardiness policy
