Position Summary / Career Interest:
The Coordinator is responsible for tracking the charitable fund request and disbursement process between health system departments and KU Endowment. This position will also assist with charitable fund reporting both internally and externally and facilitate the transfer of financial information between the health system, KU Med and KU Endowment. This position reports to the Fund Manager and is primarily responsible for coordinating all accounts and financial data to assist with Fund Development’s financial reporting and metric needs.
Responsibilities:
  • The Development Fund Coordinator will be responsible for entering and monitoring payment requests through the appropriate health system departments and KU Endowment.
  • Submit required documents to establish new funds, including FAA’s and fund checklists.
  • Procure all required documents needed for payment and reimbursement from charitable funds, including W9 forms and receipts.
  • Enter and track all charitable fund operational and capital project requests.
  • Coordinate, track and document approvals, invoices, process notes, fund account information and other supporting documents for each charitable fund request.
  • Track all social work-related charitable fund expenditures (lodging, transportation, meals, medication and other services).
  • Will ensure fund administration agreements and checklists are attached to fund records in Raiser’s Edge and appropriately filed.
  • Will ensure that health system’s charitable cost centers expenses are reimbursed monthly. Will ensure that payments submitted through KU Endowment’s financial system are completed regularly.
  • Will maintain and report financial system data within the department’s databases and new database created.
  • Assists with project request approvals, ensuring that proper approvals have been received.
  • Assists with preparing quarterly reports to internal and external stakeholders.
  • Assists with other data and financial system team project needs as assigned by the Fund Manager.
JOB REQUIREMENTS
Required:
  • High School Diploma or GED
  • Proficient in Microsoft Word, Office, and Excel
Preferred:
  • Associates Degree+ or 1-3 years’ experience in related field.
