JOB OPPORTUNITY: DEPUTY CLERK

AGENCY: MIAMI COUNTY PROBATE COURT

POSTING DATE: 3/15/2023 – Until Position is Filled

POSITION SUMMARY: Performs general clerical tasks in Probate clerks’ office but could also do work in the Juvenile Court Clerk’s office, with primary responsibility for preparing and maintaining court records and legal documents for all matters heard in Probate Court. Frequent Interaction with the public both on the phone and in person.

QUALIFICATIONS: Completion of secondary education or equivalent with coursework in legal secretarial skill and data processing. Position involves moderately complex, standardized tasks, which follow established law or procedure. Some discretionary decision making is allowed.

DUTIES:

Receives and file stamps filings and distributes to appropriate party, assists clients in obtaining or completing pertinent paperwork, enters and dockets filings into court computer, processes court orders and prepares judgment entries, sets hearings and notifies parties.

Reviews, verifies, analyzes, and processes filings to Judge or Magistrate

Works with law firms and public to provide properly completed and filed documents.

Prepares entries, notices, citations, legal documents, prepares and processes records for court hearings, prepares and issues warrants for arrest, prepares various legal documents including subpoenas and summons for hearings, prepares statistical reports for state or county, prepares and maintains files available to public.

Type’s correspondence for Judge or Magistrate, calculates and quotes court costs, collects juvenile driver’s licenses, update files electronically and manually.

Serves as court clerk including court reporting, calling cases, arranging and maintaining courtroom.

Issues marriage licenses and indexes marriages, instructs public on applicable marriage laws.

Accepts wills and catalogues testators, creates forms, prepares and maintains files available to public, processes and collects fees/fines, writes receipts, maintains individual cash drawer, assists with genealogy requests.

Receives, screens, and directs calls to appropriate person or department.

Responds to mail requests, certifies legal documents, prepares files for microfilming and storage.

Performs other tasks as directed by supervisor.

Supervisor provides directional supervision where standardized practices enable employee to proceed with regular duties; refers questions to supervisor or others. Some discretionary decision making is permitted. Responsible for keeping court records which require a moderate degree of decision making which has impact on public and outside agencies. Reports are submitted to a higher authority for review. Works with confidential and public client records. Errors in work can be detected within office but can affect the public and the work of others and require time to correct.

Attends various meetings and trainings.

Maintains regular and predictable attendance.

COMPENSATION

$19.00- $20.00 per hour

UNSUAL WORKING CONDITIONS: May be required to lift up to 15 pounds, occasionally subdue youth and adults, frequently climbs, stoops, kneels, lifts, grasps, talks and hears in a repetitive motion, performs reading and writing activities at or within an arm’s length, exposures to general office chemicals and air contaminants; works in or around crowds, has contact with potentially violent or emotionally distraught persons, has exposure to threatening situations, works in proximity to the use of firearms.
