Clearance Requirements: Requires to successfully pass a background investigation.

Type of Employment: Full-time, 40 hours a week.

Pay per hour: $18.16/hr + $4.41/hr H&W for a total of $22.57

Working Hours

Expected to perform during the normal duty hours of 8:00 AM to 5:00 PM, Monday through Friday, with the exception of Federal Government holidays, with an allowance for a one-hour lunch period each day.

Qualifications

· Associate degree in Hotel Management, Tourism, Hospitality Management or similar.

· Minimum of 3 years’ experience in document retrieval, database management and guest services

Administrative Duties

· Serves as a resource for administrative issues for managers and staff.

· Answer extension 7220 and monitor Scheduling and Events Management (SEM) Team email inbox (facility availability, general information, etc.).

· Greet Operations (FO) Division/SEM guests, coordinators, and staff on campus to determine needs.

· Schedule site visits between SEM staff and potential event coordinators.

· Provide assistance with day-to-day questions regarding various scheduling and event use by office staff.

· Record-keeping functions such as ensuring correct forms and tracking/monitoring mechanisms are adhered to while maintaining files and preparing reports.

· Monitor status of requests through completion.

· Conduct morning check-ins with course leaders and event coordinators as needed. Performs administrative and office support activities for multiple supervisors.

· Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing.

· Extensive software skills, Internet research and strong communication skills are required.

Data Entry

· Update events/courses in our hotel management system, Opera.

· Upload event/course agendas and associated forms.

· Monitor and update lodging room & meal counts in real time.

· Create and update change logs.

· Enter Event Applications & filing (including taking old files to storage).

· Assist with fiscal year (FY) calendar entries.

· Performs data entry by entering, updating, researching, verifying and/or retrieving data into/from various systems.

· Ensuring the accuracy and confidentiality of information recorded.

· Prepares source data for entry; verifying and logging receipt of data; obtaining missing data.

· Records data by operating data entry equipment; coding information; resolving processing problems.

· Protects organization's value by keeping information confidential.

Name Badges and Security List

· Enter names onto the name badge roster and manage updates/changes.

· Provide the Front Desk with name badges and a printed badge roster.

· Format and send Security List.

· Obtaining Missing Information

· Event Applications.

Participant Lists

· Course/meeting forms including but not limited to catering, motor pool, computer/science lab request forms, and bagged lunch forms.

· Billing information.
