We are currently seeking an experienced Executive Assistant for a credit union located in South Orange County, CA!

Type: Full-time, temporary-to-hire

Pay: $25-33/hr

Branch hours: Monday – Friday: 8:00am – 5:00pm (or a shift close to that)

Responsibilities:

  • Supports CEO in daily tasks. Answering and screening incoming calls. Schedules appointments for CEO/President and when needed the Executive Team.
  • Prepares confidential correspondence and complex documents on behalf of the CEO, to include letters, memos and reports, regularly using independent judgment.
  • Performs administrative duties for all executive staff under general supervision. (CEO and CEO direct reports)
  • Attends Board, Executive, ALCO and other management meetings and maintains records of the meeting as required.
  • Prepares and assembles monthly Board information packets.
  • Updates and maintains confidential credit union policies and procedures.
  • Develops and maintains a record-keeping system for reports and other documents.
  • Identifies administrative needs and develops appropriate solutions or recommendations.
  • Performs research and analysis of administrative operations to improve efficiencies and effectiveness in support of the executive team.
  • Researches concerns and responds to correspondence on behalf of CEO in regards to member communications.
  • Serve as the Vendor Relationship Officer for multiple vendor relationships.
  • Contacts credit union personnel at all levels to gather information and prepare reports.
  • Arrange logistics for executive staff, management staff, and Board meetings. Coordinate and independently schedule appointments for the CEO.
  • Coordinate logistical support for general staff meetings, Management meetings, Annual Staff Development Day, Board and other Volunteer meetings, as well as off-site meetings and Strategic Planning Conferences.
  • Provide and/or coordinate logistical and administrative support to various third parties to include, vendors, prospective vendors, auditors, consultants, and regulators.
  • Supports the Executive Team, Board of Directors, Supervisory Committee, Management Team, and Interns and assists with any travel arrangements or any additional administrative help.
  • Support the Marketing Department via the administration of the credit union's philanthropic activities. Coordinate with Co-Op Miracle Match program, track donations, support fundraising events and communicate with fund recipients.

Requirements:

  • 2 years of executive administration experience
  • Ability to work with highly confidential documents and information.
  • Excellent computer skills including use of Outlook, PowerPoint, Zoom/Teams, Excel, and Word.
  • Possess an enthusiastic and professional attitude
  • Excellent written and verbal communication skill

Job Types: Full-time, Temporary

Pay: $25.00 - $33.00 per hour

Schedule:

  • 8 hour shift
  • Monday to Friday
  • Weekend availability

Experience:

  • Zoom: 1 year (Preferred)
  • Executive Assistant: 2 years (Required)
  • Microsoft Excel: 1 year (Required)
  • Microsoft Word: 1 year (Required)
  • Microsoft Outlook Calendar: 2 years (Required)
