This opportunity is for a Secretary to provide clerical support in the Somerset Outpatient Office. Duties include serving as check-in/receptionist, scheduling appointments, collecting co-pays, , and assisting with chart preparation. Completes Fast Track Registration for new consumers. Enters information in the electronic medical records computer program. Provide back up to Windber Outpatient Office, other medical secretaries, and switchboard operator as needed.

DESCRIPTION OF WORK

This position performs clerical duties in the Somerset Outpatient Department. Provide coverage in the check-in office to include switchboard/receptionist duties which involves answering calls, taking messages, redirecting calls as needed and greeting visitors. Refers consumers to the Crisis Department when the consumer is in need of immediate assistance and a Psychiatrist, Nurse, or Therapists is not immediately available. Collect co-pays from consumers, writes cash receipts and forwards to the Fiscal Department. Handles cash and checks received. Compose and type correspondence to the physician regarding medication issues, contact local pharmacies regarding medications if needed. Assist with chart preparation for all psychiatric appointments. Obtains Consumer signatures on forms when needed. Types letters, memos, reports and forms; schedules appointments; handles cancellations and reschedules; copies materials for staff. Re-shelving secondary charts in Medical Records. Pick-up, sort, review, and route all incoming mail/inter-office mail. Process all outgoing mail. Make reminder phone calls. Completes Fast track Registrations for new consumers. Meets with consumers to check insurances, start the intake process, obtain signatures, and enters information into Electronic Medical Records (EMR) system. Complete initial insurance authorizations in addition to monitoring and tracking authorizations to complete reauthorizations for services as needed. Serves as the clerical back-up for the Windber office which includes directing the daily operation of the Windber Outpatient Office. Serves as receptionist, schedule doctor appointments, handle cancellations, and reschedule appointments. Notify the doctor when appointments arrive. Monitor anyone entering the office and provide assistance as needed. Collect co-pays from consumers, input cash receipts into accounts receivable computer program, and forward to the Finance Department. Perform Registration responsibilities. Serves with other clerical staff in providing switchboard coverage as needed. Run weekly billing report to check for errors or documentation errors and submit to Supervisor. Run weekly insurance report to check for active/inactive insurances of any new intakes that have occurred. Perform other related duties as assigned.

Work Schedule and Additional Information:


  • Full-time employment.
  • Work hours are 8:00 am to 4:00 pm, Monday - Friday, with a 30-minute lunch.
  • On occasion, staff may need to work hours outside of the set work week to complete projects, meet work demands or in the event of an emergency.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS
Minimum Experience and Training Requirements:

  • Six months as a Clerk 1 and educational development to the level of the eighth grade; or
  • Completion of a high school business curriculum; or
  • Any equivalent experience and/or training which provided the required knowledges and abilities.
