JOB TITLE: CORPORATE RECEPTIONIST

JOB PURPOSE: PROVIDE CORPORATE RECEPTION / IMAGING SERVICES SUPPORT

By representing the company in a professional, friendly, and warm manner as the main receptionist, interacting by phone and in-person with customers, co-workers, vendors, and guests. Scan, index and import documents into the Perceptive Content System, order miscellaneous office supplies and materials, post invoices into accounting system, process birthday cards and assist with projects assigned by Supervisor and Facilities Manager.

ESSENTIAL JOB RESULTS:

The primary result expected from the Corporate Receptionist will be to answer and route calls from switchboard, greet and check in visitors, scan, index, and import documents into the Perceptive Content System, order miscellaneous office supplies and materials, post invoices into accounting system, process birthday cards, and assist with projects assigned by Supervisor and Facilities Manager.

TASKS PROFILE:

Typical tasks for this position include (but are not limited to) the following:

  • Operate telephone switchboard to answer, screen, and forward calls, and provide general information to callers.
  • Greet persons entering the building in a warm and professional manner, determine nature and purpose of visit.
  • Check in visitors, print visitor badges, and notify hosting associates.
  • Maintain Easy Lobby Visitor Check-in System
  • Receive, log in, and notify associates of deliveries made to the front desk.
  • Maintain Front Desk Procedures Manual – Update and create various types of process and procedure documentation relating to work responsibilities
  • Provide Imaging Services support by scanning, indexing, and importing documents into the Perceptive Content System.
  • Maintain the Reception area in a clean and organized manner.
  • Perform other duties and assignments as assigned by Supervisor and Facilities Manager.

  • Communicating with supervisors, peers, or subordinates: providing information to supervisors and co-workers in written form or in person.
  • Maintain a good record of attendance and punctuality.
  • Learn all manual tasks performed within the department.
  • Perform tasks assigned, using specific operating procedures and following department-specific quality control processes and procedures.
  • Treat people with dignity and respect.
  • Conduct all business with integrity.
  • Adhere to Rust-Oleum Corporation Quality principles and participate in all departmental and company-wide Quality activities.
  • Follow all safety procedures and company policies.

QUALIFICATIONS:

KNOWLEDGE

  • Customer and Personal Service — Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Clerical — Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • English Language — Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Computers and Electronics — able to use computer and other office equipment in performing daily job tasks. Strong Microsoft Office skills.
  • Mathematics — Ability to add, subtract, multiply, and divide numbers.
