The Corporate Event Planner is responsible for planning and execution of Phillips 66 events, including Executive Leadership Events, Marketing Events, Customer and Client Events. This position will be officed onsite at our Houston HQ office in the Westchase Houston area.

Responsibilities May Include

Function as a key member of the Corporate Events Team

Develop, plan and execute high-level and complex meetings and events

Ability to maintain a high level of professionalism, poise and discretion in a high-visibility role

Experience in sourcing and procurement of hotels and event space in various US cities

Handling invoice related processes such as coding, vendor set up, approval routing, and reconciliation

Oversight of Phillips 66 Branded gift inventory, distributions and tracking

Entering team data and maintaining accurate reports in Excel, SharePoint and Concur

Proven record of managing large event budgets all while maintaining KPI’s, best practices and ethical standards as it relates to strategic meetings management

Stewardship of event partner relationships and having a constant awareness of trends, innovation and property updates in the event space

Work seamlessly and cohesively with internal catering and facilities teams for internal events and experiences – such as townhalls, executive luncheons and dinners

Advanced experience in event design, including menu development, catering logistics, floral and décor procurement and audio-visual concepts

Providing ad-hoc and backup support as needed with other planners on the team

Establish metrics for planning processes; review and report on effectiveness of processes to maximize results and provide recommendations

Coordinate ground transportation in various cities and ability to source resources outside normal circumstances, including experience utilizing DMCs when necessary

Support high-level leadership meetings, preparing event planning documents, provide onsite support

Collaborate with various internal teams/EAs/assistants, to recommend level of support required for events with executive leadership

Work closely and seek necessary approvals for program/process changes (security teams, aviation, and legal)

Excellent time management and multi-tasking skills

Required Qualifications

Legally authorized to work in the job posting country

High School Diploma or GED

5 years of experience in a Corporate Meeting Planning role

Proficiency in Microsoft applications (Teams, Word, Excel, PowerPoint, and Outlook)

Proficiency in SAP

Proficiency in SharePoint

Ability to travel domestically 20% of the time for event execution and support

Ability to perform under high-stress environments in a graceful and professional manner

Preferred Qualifications

Bachelor’s degree

Excellent organizational skills and attention to detail

Experience using Cvent

Experience working with or supporting Executive Leadership for a large organization
