Position Overview

The Illinois Department of Corrections is seeking a highly motivated, detail oriented, and energetic individual to join our team as an Administrative Assistant I. Working under the general direction of the Warden, this position will serve as the Facility Review Control Officer. The right candidate will be responsible for maintaining and updating changes in administrative directives, institutional directives, and institutional procedures. Primary duties include ensuring compliance with Departmental and facility policies and procedures, which entails assigning current policy reviews to staff, conducting assessments of those reviewed policies to ensure compliance, and assigning corrective action to those areas that need improvement. A background in departmental policies and procedures is preferred but not required. We encourage all qualified candidates to apply.

Job Responsibilities

  • Serves as assistant to Warden.
  • Coordinates audit assignments to assess and make recommendations for improvements based on system testing and analysis.
  • Serves as the Facility Review Control Officer.
  • Coordinates internal reviews and audits relative to directives received from general office.
  • Provides guidance and direction to staff and individuals in custody in resolving problems in areas encountered within the scope of the administrative office.
  • Maintains audit files.
  • Performs other duties as assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
  • Requires one (1) year of professional experience in a public or private organization, or completion of an agency approved professional management training program.

Preferred Qualifications

  • Prefers at least three (3) years of experience interpreting administrative and institutional directives and departmental rules.
  • Prefers at least two (2) years of experience conducting audits in a correctional setting.
  • Prefers at least two (2) years of experience communicating and interacting with management and agency officials.
  • Prefers at least two (2) years of professional experience drafting reports for internal and external reviews.
  • Prefers at least one (1) year of experience establishing corrective action procedures and follow-up.
  • Prefers at least one (1) year of professional experience creating and maintaining an information database and tracking information.
  • Prefers at least one (1) year of professional experience responding verbally and in writing to external and internal inquiries.
  • Prefers at least one (1) year of professional experience working with and maintaining confidential information.
  • Prefers at least one (1) year of experience conducting administrative projects.
  • Prefers at least one (1) year of professional experience using computer software systems.

Conditions of Employment

  • Ability to pass the IDOC/IDJJ background check.
  • Ability to pass a drug screen. On January 1, 2020, the Cannabis Regulation and Tax Act made it legal for residents over the age of 21 to produce, consume and sell cannabis in Illinois. Please note that although the law has changed, the Department will continue to enforce the Department’s zero tolerance Drug Testing policy.
