The Broad Institute of MIT & Harvard is currently seeking a Contracts Associate to join our Procurement group. Reporting to the Manager, Contracts in the Procurement group, this position is responsible to review, negotiate, and execute various contracts, service agreements and general terms and conditions, as applicable to procurement transactions. Collaborates closely with the administrative groups, including coordinating cross-functional projects, and must be versed in internal workflows.

CHARACTERISTIC DUTIES

Procurement Operations

  • Assist in the review and negotiations, for all Procurement staff, in cases of conflicting terms & conditions.
  • Manage engagements for: independent contractors, consultants, temp and placement agencies, law firms, architects, engineers and other purchases as needed.
  • Assist in the execution of Request for Proposal (RFP) processes for the Institute
  • Execute agreements and issue purchase orders on contract–related procurement.
  • Systematically help maintain central records for agreements and contracts per Institute record retention policy.
  • Processes agreements through execution (e.g. obtaining signatures, filling in routine information missing from agreements)
  • Serve as primary backup to the Manager, Contracts of the Procurement group on all contract-related matters
  • Signing authority for purchase order approval with $25K signing authority. Procurement Systems & Reporting
  • Coordinates the retrieval of purchasing data for analysis and reporting
  • Resolves purchase order/invoice discrepancies
  • Help manage a contracts database with contract master data for common agreement types, including independent contractor agreements, consulting agreements, master services agreements, Statements of Work, general terms and conditions, software licensing agreements and service, maintenance agreements and blanket purchasing agreements (pricing agreements)
  • Carry out enterprise system improvements to overlay process needs of central and departmental teams.

Vendor Relationships

  • Negotiates vendor specific terms and conditions when needed.
  • Acts as a negotiator in cases where Broad terms and conditions are not accepted by a vendor. Keeps consistent dialog with key vendor legal groups in order to maintain current terms and conditions as corporations and technologies evolve.
  • Periodically obtain necessary certificates of non-disclosure and certificates of insurance forms for vendor file.

QUALIFICATIONS

Education

  • Bachelors Degree required, Juris Doctor strongly preferred. Undergraduate science degree or coursework a plus.

Experience

  • Minimum 3 years related experience in a contract procurement or legal position required.
  • Knowledge of life sciences and basic contract law preferred.
  • Computer literate and proficient in the use of personal computers, spreadsheets and word processing software.
  • Familiarity with SAP and other enterprise purchasing systems a plus.
  • Excellent organizational and interpersonal skills, ability to manage deadlines.
  • Works well in a fast-paced environment and with all levels of Institute staff.

Job Type: Full-time

Pay: $95,000.00 - $105,000.00 per year
