POSITION DESCRIPTION

A construction Contracts Admin is a construction professional with many years of experience in a construction office setting who plays a supporting role in the overall contract and subcontract management and administration of multiple projects. Coordination of multiple weekly activities and processes including customer interactions, legal review and compliance, contract issuance, coordination of subcontractors and suppliers’ deliverables, and document control to the satisfaction of the client. Long-term objectives include periodic review of job practices for quality, efficiency, work methods, and following company policies. The Contracts Asmin performance is measured through Key Performance Indicator’s (KPI’s) to contribute to the overall success of the company.

DUTIES AND RESPONSIBILITIES

OWNER CONTRACTS

· Customer and Project setup in Foundation Software.

· Client and Subcontractor Risk Management assessment and Project Prelim info request.

· Create and/or review owner contracts and exhibits. Review Owner contract(s) to verify/ confirm appropriate inclusion(s) and verbiage specific to liquidated damages, change order markup percentage(s), union/ DBE/ prevailing wage requirements, payroll classification, lien laws/ regulations applicability, license and bond requirements, and billing schedule/ requirements.

· Coordinate with Estimating Dept. and Project Team to confirm completion and validity of drawing log, prelim information, owner insurance requirements, site rules & regulations, sub contact(s), and subcontract contract amount(s)

· Request and maintain BU insurance COIs.

· Engage and provide information to Attorney to create, verify, and certify mail BU pre-liens. Research client info and APNs.

· Attend/participate in Project Turnover and 33% Review meetings (attend 66%, 99% and Postmortem Review meetings as needed).

SUBCONTRACTOR CONTRACTS

· Create and maintain subcontractor profiles, licenses, safety programs, and certificates of insurance - electronically and physically - Verify/ confirm sub pre-qualification status.

· Create and/or review subcontractor contracts and exhibits. Including but not limited to creating FS committed cost setup, modifying approved sub folder name to include subcontract number issued per Foundation software, confirming statuses for union, DBE, and prevailing wage owner requirements, reviewing/ verifying accuracy of contract scope(s), contract amount(s), and cost code(s) provided by PM/Estimating, and acting as liaison between subcontractor and PM for any contract negotiation(s) and/ or modification(s). Review, execute, file and return subcontracts to subs and Project Team.

· Request and receive Project specific Sub COIs- ensure they are up to date throughout the project.

· Extract, save, and email competent person acknowledgement(s) upon receipt to PE and Project Team.

· Create/ save subcontractor contacts in outlook (specific to department)

· Monitor SCOs- Create, issue and execute as needed.

LEGAL ADMIN

· Develop and maintain SOP docs related to the department’s activities.

· Manage periodic internal audits and reviews.

· Perform additional assignments per manager's direction.

· Ensure timely completion of multiple deliverables, and proactively address difficult situations in a positive cooperative manner.

QUALIFICATIONS AND SKILLS

· Minimum of 3-5 years’ experience working for a Commercial General Contractor.

· Excellent English oral and written communication skills.

· Savvy Computer skills: Microsoft Suite (Outlook, Word, Excel), Procore, Foundation Software Accounting.

· Must read and comprehend AIA and other construction related contracts, exhibits and legal documents.

· Be articulate, communicative, and professional with excellent verbal and written communication skills when working with both internal and external contacts.

· Excellent organizational skills and organizational responsibility and efficiency.

· Candidate must always maintain the highest level of confidentiality and possess the ability to properly handle sensitive materials concerning the organization.

· Valid Driver’s License

Job Type: Full-time

Pay: $60,000.00 - $80,000.00 per year
