Job Summary


Provides administrative and clerical support to Community or General Manager in all areas. Serves as contact for all Homeowners and Board Members. Performs all duties in accordance with FirstService Residential's policies, processes, and procedures and within the realm of the management philosophy.

Pay: $ 24.04 -$ 26.44 *DOE (CAM license preferred) Location: North Las Vegas area * Full Benefits*

Job Responsibilities

Essential Duties & Responsibilities


The job duties listed are typical examples of the work performed by positions in this job classification. Not all duties assigned to every position are included, nor is it expected that all positions will be assigned every duty.

  • Receive incoming phone calls/mail and respond as directed or appropriate
  • Draft and send professional correspondence for a variety of matters to homeowners, board members, committee members, vendors, etc. (in a variety of formats – letters, emails, etc.)
  • Will be a direct supervisor for the receptionist and possibly other staff.
  • Fill in for receptionist as needed
  • Maintain the Community or General Manager's schedule, calendar, and files
  • Assist in maintaining the Community's hard files and uploading files to Docuware
  • Assist in adding/deleting homeowners, residents, and club employees to/from the access system for access.
  • Keep a spreadsheet of all transponders given to Security and alert the manager when the supply is running low.
  • Assist in posting and keeping the Community website updated, which includes the daily syncing of Connect with the website and adding monthly committee and board agendas and minutes.
  • Send out email blasts as requested by Manager and Board
  • Update HOA contact and Board / Committee information with up-to-date information.
  • Prepare and organize all materials needed for board meetings
  • Receive and respond to any homeowner and/or Board of Director inquiries (verbal and written) in a professional, efficient, and timely manner
  • Must attend all HOA board and Workshop meetings as follows: bi-monthly Executive and Workshops and quarterly Board of Directors meetings
  • Receive and track all ARC submittals, processes ARC application payments, attends meetings, draft agendas and minutes, and send follow-up response letters to the homeowners.
  • Acts on behalf of the Community or General Manager when necessary or as directed. Provides direction to other team members in direct areas of responsibility when necessary.
  • Process security reports and disseminates reports as needed
  • Must attend all HOA Community events if applicable
  • Assist in processing the recording of the return ballots for annual meetings/elections.
  • Assist with training staff as needed
  • Work with the Community's Inspector when required on the violation process
  • Assist the Community or General Manager with all requested information needed for the completion of the Reserve Study
  • Assists the Community or General Manager in developing an operating budget for facilities maintenance and monitors expenditures.
  • Assist the Community or General Manager with the organization of Annual, Budget, Board, Election, and Special meetings of the Association within legal requirements.
  • Ensure that landscape and maintenance issues are taken care of to Board satisfaction within the budget and within time constraints
  • Ensure Minutes and Action Lists are completed and provided to the Board, or Committees, within 48 hours
  • Properly documents all Homeowner requests and processes accordingly
  • Perform other duties as requested

  • Practice and adhere to FirstService Residential Global Service Standards.
  • Conduct business at all times with the highest standards of personal, professional and ethical conduct.
  • Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional materials and supplies.
  • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems, and maintain a specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
  • Ensure all safety precautions are followed while performing the work.
  • Follow all policies and Standard Operating Procedures as instructed by Management.
  • Perform any range of special projects, tasks, and other related duties as assigned.

Supervisory Responsibility

Education & Experience


High School diploma or equivalent

AA or BA preferred.

Industry experience preferred.

1-2 years of supervisory experience

Knowledge, Skills & Proficiencies

  • Must be able to lift 25lbs.
  • Must be able to sit for extended periods of time.
  • Must be able to stand for long periods of time and be able to freely move about the office and building.
  • Must be able and willing to work a variety of hours in order to meet the requirements of the position, including evenings, weekends, and holidays.
  • Must be able to travel and work in excess of 40 hours per week as needed. This position does have occasional OT.

Work Environment

The work environment characteristics are normal office conditions at an onsite community facility. This is a full-time position. There will be occasions when it is necessary to work various evenings, weekends, and holidays. Consistent and regular attendance is required.
