DESCRIPTION OF WORK

In this position, you will provide clerical support by performing a wide variety of clerical and secretarial duties such as preparing and processing letters, reports, certificates, transmittals, and minutes for the Pennsylvania State Fire Academy Certification Program Manager, the Fire Academy Training Services Administrator, and the Assistant Fire Academy Training Services Administrator.

You will provide clerical support to the Certification Program area by processing information received from certification test sites and certification applications and maintaining those files, tracking and providing IFSAC and NBFSPQ certification numbers, preparing and typing documents to purchase certification supplies, and tracking and forwarding all payments for certification.

This position will also require you to provide clerical support to the SFA by typing and processing correspondence and other required documents as well as data entry ensuring correct format, grammar, spelling, completeness, and consistency of substance in conformance with agency administrative standards and absence of typographical errors. Other duties include serving as the alternate SFA timekeeper, processing incoming and outgoing mail and monitoring those supplies and postage, recording meeting minutes, responding to written and telephone inquiries, and functioning as lead clerical to other clerical staff to meet certification operations and may also support ancillary clerical functions to meet SFA operations.

During designated emergencies or disasters, performs assigned duties at the State Fire Academy or other locations as assigned by State Fire Commissioner.

Work Schedule and Additional Information:
  • Full-time employment.
  • Work hours are 8:00 am to 4:00 pm, Monday - Friday, with 30-minute lunch.
  • Essential employee may work 12 hour shift.
  • Telework: You may have the opportunity to work from home (telework) part-time. Upon completion of orientation, you may be eligible to participate in the Fire Academy Part-Time Telework Program. You may be eligible for up to 3 days of telework depending on work assignments and activities to support at the Academy. In order to telework, you must have a securely configured high-speed internet connection. If you are unable to telework, you will have the option to report to the headquarters office in Lewistown.
  • Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS
Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (commonwealth title); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.
